The Facilities Operations Manager plays a crucial role in ensuring the overall maintenance and operational efficiency of the community, working under the guidance of the Property Manager.
Candidates must possess experience in facility management, particularly within multifamily settings, including shared parking facilities and communal areas, as well as mixed-use commercial spaces.
HVAC Certification is mandatoryKey Responsibilities
- Lead and supervise maintenance staff, ensuring high-quality work and adherence to safety protocols.
- Participate in the hiring and termination processes, in line with company policies and under the Property Manager's direction.
- Provide guidance and documentation to enhance employee performance and work attitudes.
- Develop work schedules and assign routine maintenance tasks to staff.
- Ensure continuous maintenance coverage for emergencies and urgent work requests, being available for on-call situations.
- Uphold safety standards in all operations and train staff accordingly.
- Conduct monthly safety meetings, documenting discussions and emphasizing safety for new hires.
- Regularly inspect facilities, grounds, and communal areas to identify maintenance needs and safety hazards.
- Maintain a clean and organized maintenance shop, complying with OSHA regulations, including Hazard Communication Programs and necessary postings.
- Address maintenance requests in apartments promptly, striving for completion within 24 hours.
- Prepare vacant apartments for new residents following company guidelines.
- Coordinate with contractors for maintenance projects, securing bids as necessary.
- Utilize contract labor when cost-effective, with prior approval from management.
- Adhere to established budgetary constraints and purchasing directives.
- Keep detailed records of operating manuals, warranties, and inventory for parts replacement.
- Stay informed about industry developments, including new products and cost-effective repair methods.
- Maintain exemplary resident relations at all times.
- Complete and submit Monthly Preventative Maintenance Reports.
- Monitor all Operations and Maintenance Programs (e.g., Asbestos, Lead-Based Paint, Mold & Fungi) to ensure compliance and proper notification of relevant personnel.
- Responsible for accurate record-keeping and reporting related to O&M programs.
- Perform additional duties as assigned.
