Position Summary
The Procurement Support Specialist will oversee warehouse staff to manage and facilitate loading and unloading processes, including inspections of transport vehicles. This role will assist in the execution of new warehouse strategies while ensuring adherence to safety, quality, and environmental standards, all while optimizing operational efficiency.
Key Responsibilities
- Maintain accurate records, manage filing systems, and process purchase orders.
- Utilize software to input purchase orders into the system, ensuring precise tracking and status updates, and generate reports for analyzing purchasing activities and operational costs.
- Establish new supplier accounts, including gathering necessary tax and banking information.
- Create and manage purchase orders within the procurement system.
- Reconcile receiving documents with purchase orders, assist in processing orders and invoices, and resolve discrepancies.
- Solicit and provide quotations for all required items.
- Conduct price comparison analyses, manage returns of incorrect or defective items, and liaise with vendors for resolution.
- Address vendor inquiries regarding overdue invoices.
- Ensure timely fuel deliveries for all necessary equipment.
- Oversee inventory of communication devices and related accessories.
- Process contractor invoices using the designated system.
- Coordinate supply ordering and scheduling as per departmental needs, providing expedited services as necessary.
- Engage actively within the facility, collaborating closely with warehouse associates and providing support as needed.
- Supervise the performance of warehouse associates and assist in their training.
- Identify and troubleshoot operational issues within the warehouse, recommending improvements for efficiency.
- Review outgoing documentation for accuracy and compliance.
- Participate in monthly inventory assessments and reconciliations.
- Work collaboratively with office staff to coordinate loading and shipping operations.
- Monitor product storage and rotation, as well as backorder shipments.
- Assess the workplace for potential improvements and safety hazards.
- Collaborate with production teams to align loading activities with product availability.
- Conduct regular audits on load quality and inventory management.
- Guide team efforts to maintain compliance with operational standards.
- Commit to safety by understanding workplace hazards and recognizing that safety is a collective responsibility.
- Work overtime as needed.
- Perform additional duties as assigned by management.
- High School Diploma or equivalent required; a two or four-year degree is preferred.
- Minimum of 2 years' experience in a warehouse setting, including inventory management; familiarity with enterprise asset management software is a plus.
- Demonstrated leadership and interpersonal skills.
- Proficient in computer applications (databases, spreadsheets, Microsoft Office Suite) and possess strong mathematical abilities.
- Self-driven with a focus on continuous improvement.
- Able to thrive in a fast-paced and high-risk environment.
- Capable of making sound decisions based on judgment.
- Physical ability to lift and transport materials weighing up to 30 pounds frequently and up to 50 pounds occasionally.
- Ability to traverse distances and perform various physical tasks throughout the workday.
