The Financial Administrative Assistant will support the Commercial Accounting Manager by delivering financial, administrative, and clerical assistance to the organization. This role is primarily focused on managing site documentation and facilitating the setup of new projects. Under direct supervision, the individual will execute defined tasks in alignment with standard operating procedures, requiring some problem-solving capabilities, while also aiding general business operations through administrative support activities such as data entry, reporting, and basic analysis that necessitate meticulous attention to detail.

Key Responsibilities

  • Handle daily document control requirements for the construction division.
  • Maintain project files and manage job setups efficiently.
  • Monitor client systems for new purchase orders and change orders.
  • Coordinate paperwork for new projects and modifications via email.
  • Ensure timely updates of jobs or changes in the system throughout the day.
  • Organize and prioritize daily tasks to meet deadlines effectively.
  • Collaborate with the Commercial Accounting Manager, Site Superintendent, and Construction Managers to address issues for accurate project setup.
  • Assist management with ad-hoc requests, including special projects and initiatives.
  • Adhere to all safety regulations and protocols.
  • Perform other related duties as assigned.

Qualifications

  • At least 1 year of experience in an office setting.
  • Prior experience in accounting is preferred.
  • Ability to maintain confidentiality regarding customer, client, and employee information.
  • Capability to adapt to new tasks and deadlines in a fast-paced, demanding environment.
  • Strong attention to detail and a commitment to delivering quality work promptly.
  • Excellent verbal and written communication skills are essential.
  • Ability to work effectively under pressure.
  • Must be able to work independently as well as part of a team.

Technical Skills:

  • Proficient in Microsoft Excel.
  • Familiarity with SAP ERP is preferred.
