Key Responsibilities:

  • Receive and process service requests, dispatching technicians accordingly.
  • Manage daily timekeeping and prepare payroll as necessary.
  • Ensure accurate time tracking by technicians, monitoring compliance with company standards.
  • Open, manage, and close work orders for assigned technicians.
  • Oversee preventive maintenance completion to achieve optimal service levels.
  • Track and manage fleet and warranty service claims for assigned technicians.
  • Prepare service quotes for clients and monitor the completion and closure rates.
  • Assist in managing work in progress (WIP) for assigned technicians.
  • Review technicians' documentation and timecards weekly as required.
  • Maintain WIP reports, ensuring timely dispatch of technicians to uphold service standards.
  • Accurately track and bill monthly work orders to maintain departmental profitability.
  • Perform additional administrative duties as assigned.

Qualifications:

  • Ability to work independently and collaboratively within a team.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint; familiarity with Adobe Acrobat Suite is a plus.
  • Detail-oriented with strong organizational skills.
  • Excellent verbal, written, and telephone communication abilities.
  • Analytical mindset with the ability to manage multiple tasks under pressure.
  • Consistent and punctual attendance is essential.
  • Professional appearance and demeanor are expected.

Working Conditions:

This position requires a commitment of forty hours per week, with potential overtime as needed. It is classified as an hourly role.
