Position Overview

Key Responsibilities
  • Establish and nurture relationships with both internal and external stakeholders to ensure high-quality service delivery.
  • Conduct site visits to foster face-to-face connections with partners and gain practical insights into their daily operations.
  • Oversee real estate initiatives, property requirements, and construction projects while ensuring adherence to all legal, operational, and financial standards.
  • Handle monthly invoicing related to rent, landlords, maintenance, and utilities.
  • Analyze data concerning occupancy, square footage, and billing to inform decision-making.
  • Maintain the integrity of the real estate database and manage data accuracy.
  • Support vendor relationship management and national contract oversight.
  • Ensure compliance with business licenses, occupancy certificates, and insurance certificates according to local and state regulations.
  • Assist in identifying and selecting office locations across various regions.
  • Facilitate the review and negotiation of leases, renewals, and contracts to optimize financial resources and mitigate risks.
  • Coordinate the closure of offices and the timely return of security deposits, focusing on accountability and risk management.
  • Manage furniture relocations, design, acquisitions, and installations in field offices.
  • Organize storage and relocation needs, including the decommissioning of spaces.
  • Plan, develop, and implement ongoing processes and project enhancements under the guidance of the Real Estate Manager.
  • Continuously seek opportunities to streamline and improve operational processes.

Qualifications and Skills
  • 3-5 years of relevant professional experience.
  • A proactive attitude with a genuine interest in building relationships and delivering consistent, reliable service.
  • Ability to innovate and take calculated risks.
  • Capacity to manage and prioritize multiple projects simultaneously.
  • Strong attention to detail and organizational skills.
  • Collaborative team player with the ability to work independently in a fast-paced environment.
  • Integrity, humility, and an entrepreneurial mindset.
  • Willingness to travel regularly, approximately 10-15% of the time.

Preferred Qualifications
  • Familiarity with technical language or experience reviewing legal documents such as leases and contracts.
  • Experience in commercial property management.
  • Knowledge of real estate transactions.
  • Background in construction management.
  • Proficiency in Microsoft Office, Airtable, CoStar, and contract data management systems is preferred.
