Position Overview

The Healthcare Operations Supervisor will oversee the daily functions and administration of multiple medical facilities. This role encompasses staff leadership, scheduling management, and ensuring optimal patient experiences across all designated locations. NOTE: This position requires travel between facilities, with a commitment of two to three days per week at each site.

Key Responsibilities:
  • Lead and mentor administrative personnel across various sites, providing comprehensive training and support to enhance team performance.
  • Conduct regular assessments of team performance and offer constructive feedback.
  • Promote a collaborative and efficient workplace culture.
  • Review patient schedules weekly and monthly to maximize appointment efficiency.
  • Ensure high standards of customer service and patient satisfaction.
  • Address patient inquiries and concerns in a timely and professional manner.
  • Evaluate operational workflows and collaborate with senior management to identify areas for improvement.
  • Master all roles within the office to provide coverage as needed.
  • Maintain thorough knowledge of services offered.
  • Timely submission of required reports to senior management.
  • Clarify office policies to patients as necessary.
  • Perform regular audits on patient records to ensure accuracy.
  • Ensure cleanliness and organization of office spaces, reporting any issues promptly.
  • Reconcile daily activity reports and balance financial records.
  • Complete monthly reconciliations and submit by the designated deadline.
  • Adhere to compliance regulations to prevent fraud and abuse.
  • Assist in the development and execution of strategic initiatives to meet organizational objectives.
  • Maintain quality assurance standards in front office operations.
  • Coordinate maintenance and repair of office equipment as required.
  • Serve as a role model for exemplary customer service and support staff development.
  • Collaborate with leadership to formulate long-term strategies and policies for the organization.
  • Uphold the highest standards of confidentiality.
  • Manage staffing schedules for multiple locations.
  • Perform additional duties as assigned.
Qualifications:
  • Bachelor's degree in healthcare administration, business management, or a related discipline (preferred).
  • At least 3 years of experience in medical office management.
  • 3-5 years of experience in medical practice operations is required.
  • A minimum of 3 years in a supervisory role.
  • Current BLS Certification is required.
  • Demonstrated experience in a medical office management capacity, with a solid understanding of medical terminology and healthcare operations.
  • Exceptional organizational and leadership abilities, with a focus on task prioritization and time management.
  • Ability to work independently as well as collaboratively within a team.
  • Strong communication and interpersonal skills, with a focus on customer service.
  • Proficiency in electronic health record systems and office software.
  • Strong leadership qualities, with the ability to inspire and manage a team effectively.
  • Excellent analytical and problem-solving skills.
  • Advanced knowledge of healthcare regulations, including HIPAA compliance.
  • Self-motivated and reliable.
  • Able to adapt to changing workloads while maintaining flexibility.
