Position Summary:

The Information Liaison for Surgical Services embodies the mission, vision, and values of Northwestern Medicine, adhering to the organization's Code of Ethics and Corporate Compliance Program while complying with all relevant policies and standards.

Key Responsibilities:
  • Exhibit comprehensive knowledge and proficiency with clinical computer systems.
  • Schedule surgical cases accurately, utilizing both manual and computerized methods to generate necessary surgeon-specific instrumentation preferences.
  • Manage changes to the operating room schedule following established protocols.
  • Review and update the next day's surgical schedule in collaboration with anesthesia and operating room personnel.
  • Ensure the distribution of daily operating room schedules within Surgical Services.
  • Verify scheduling codes for procedures, ensuring accurate preferences are communicated to CSS staff.
  • Facilitate nightly updates and duplications of the operating room schedule across all facilities.
  • Coordinate patient arrivals to pre-operative holding areas and monitor transport tracking systems.
  • Communicate patient arrivals to nursing staff effectively.
  • Oversee and prioritize work assignments related to patient and specimen transport, phone communications, and equipment delivery.
  • Manage patient flow and perform additional duties as required.
  • Execute schedule changes efficiently each night.
  • Monitor automated systems to ensure timely turnover of operating room rooms.
  • Document surgical services staff call-ins for automated notifications.
  • Ensure timely communication of on-call team requirements and other support services.
  • Prepare daily nursing staffing rosters by specialty, coordinating with the operating room schedule.
  • Compile daily and weekend on-call nursing sheets, ensuring completeness.
  • Generate next-day equipment lists for staff completion.
  • Assist in creating patient belongings lists for staff assignments.
  • Direct incoming calls to appropriate departments.
  • Facilitate communication of patients exiting the operating room to family members and nursing units.
  • Request account creation for patient admissions as necessary.
  • Order and maintain adequate office supplies and printed materials.
  • Support patient transport from reception to pre-operative areas when requested.
  • Retrieve lab results from the hospital database as needed.
  • Order specialty beds to meet patient requirements.
  • Establish call trees for on-call staff and manage operational triage in emergencies.
  • Check patients in and enter upcoming cases into the system.
  • Provide assistance and guidance to volunteers.
  • Ensure patient charts are organized for the following day.
  • Maintain the waiting room and supply areas for visitors.
  • Respond to emergency call lights by transporting necessary equipment to the appropriate locations.
  • Maintain and update the Nursing Staff Directory.
  • Keep the triage list current.
  • Log broken equipment for repair and ensure replacement of malfunctioning devices.
  • Facilitate communication between operating room, pre-operative, and post-operative areas.
  • Manage incoming calls from physician offices and patients.
  • Monitor and audit charges, ensuring accurate billing.
  • Confirm that all patient encounters are correctly documented for billing purposes.
  • Coordinate visitor and vendor access, ensuring compliance with policies.
  • Assist transportation staff with specimen collection and delivery.
  • Support nursing staff scheduling through dedicated hospital systems.
  • Train new hires on essential functions, policies, and procedures.
  • Document relevant information for management follow-up to promote positive outcomes.
  • Collect data for departmental quality management initiatives.

Qualifications:

  • Required: High school diploma, medical terminology knowledge, basic computer skills, typing speed of at least 30 WPM.
  • Preferred: College-level education or diploma, prior hospital experience, teamwork experience, customer service experience.
