Supervisory Responsibilities: Teachers and Secondary Support Staff

Work Schedule: 40 hours per week

Core Responsibilities: Deliver exceptional customer service to students, families, and staff concerning school operations.

General Purpose: The Building Secretary provides vital administrative support at the high school level, including record maintenance, material distribution, and responding to inquiries from various internal and external stakeholders.

Key Duties:

  • Welcome all visitors with professionalism, verify appointments, and guide them to the appropriate personnel.
  • Establish and uphold a clean, organized, and efficient office environment.
  • Handle all incoming calls, directing them appropriately and documenting messages.
  • Gather data to prepare reports or fulfill requests, including student attendance records.
  • Maintain the organization of manual and electronic document files and records.
  • Provide administrative assistance to the High School Principal and Secondary Assistant Principals.
  • Oversee inventory management of office supplies and materials.
  • Monitor students referred for health or disciplinary reasons to ensure their well-being.
  • Address inquiries from various parties to facilitate effective communication and provide necessary information.
  • Assist students with medication administration and basic health assessments under the guidance of the school nurse.
  • Communicate with maintenance staff regarding facility issues.
  • Report any suspicious activities or unusual behavior of visitors immediately.
  • Maintain confidentiality regarding personnel and student matters.
  • Represent the school positively to students, parents, colleagues, and the public.
  • Collaborate effectively with school staff and administration.
  • Serve as a substitute teacher when necessary during staffing emergencies.
  • Familiarity with Infinite Campus is preferred.

Additional Responsibilities: As assigned or required.

Minimum Qualifications:

Skills: Ability to perform multiple tasks and adapt skills to meet evolving job demands. Competencies include operating standard office equipment, maintaining accurate records, customer service, and problem-solving.

Knowledge: Proficiency in basic math, reading various manuals, writing documents in prescribed formats, and solving practical problems. Essential knowledge includes business telephone etiquette, office equipment/software, and English grammar.

Abilities: Capable of scheduling activities, gathering and classifying data, and using job-related equipment. Flexibility to work with diverse individuals and groups is essential. Strong problem-solving skills are required to identify issues and develop action plans.

Work Hours: Monday - Friday: 7:30 A.M. - 4:00 P.M.

Compensation: $16.00 per hour.
