POSITION SUMMARY

The Client Intake Coordinator plays a crucial role within an integrated team, providing essential support to the mental health counseling staff and the Office Manager. This position serves as the primary administrative contact for Light Counseling and operates under the supervision of the Office Manager.

We are looking for a skilled and proactive individual to fulfill the role of Client Intake Coordinator. As the initial point of contact for current and prospective clients, visitors, community partners, and referral sources, you will be responsible for gathering vital information to ensure a comprehensive referral process. You will facilitate clients' entry into our care system and manage their scheduling effectively. Strong communication skills, accurate data entry experience, and familiarity with common behavioral health and medical terminology are essential for this role.

RESPONSIBILITIES:

  • Input new clients into the Electronic Health Record (EHR) system.
  • Confirm clients' insurance coverage and eligibility for services.
  • Efficiently process referrals with internal providers or direct them to the appropriate external care provider.
  • Manage data related to consents, socio-demographics, insurance information, and referrals.
  • Ensure all necessary intake documentation, consents, disclosures, and releases are completed prior to sessions.
  • Update EHR with information from releases and paperwork.
  • Assist in filling provider schedules with clients lacking future appointments.
  • Conduct interviews with referral sources or prospective clients to assess service needs and eligibility.
  • Secure the office/building at the end of the day, ensuring all files, offices, and external entries are locked, and the waiting room and kitchen are tidied.
  • Learn and provide support for various electronic applications and platforms utilized by Light Counseling.
  • Establish and maintain positive relationships with medical, business, and community groups to enhance public relations and coordinate services.
  • Verify room assignments.
  • Provide front desk office support as needed.
  • Support safety initiatives and maintain a safe environment for clients, staff, and visitors.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • High School diploma or equivalent.
  • Experience in customer service.
  • Familiarity with processing referrals and verifying eligibility.
  • Experience with Electronic Health Records is preferred.
  • Moderate computer proficiency.
  • Excellent oral and written communication skills.
  • Valid Driver's License and acceptable driving record.
  • Completion of all required background checks and drug testing.
  • No convictions for serious offenses.
  • Successful completion of pre-employment credit and background checks.
  • Positive feedback from professional and personal references.

The Client Intake Coordinator is a vital member of the team, expected to be flexible, embrace new responsibilities, collaborate effectively, and contribute to the mission and values of Light Counseling. This role requires representing Light Counseling to all clients in a manner that reflects its core values.
