Job Overview

Position Summary:

The Property Services Coordinator plays a crucial role in ensuring a pleasant, secure, and tranquil environment for our guests. This individual acts as the primary emergency contact for the property outside of regular office hours and provides assistance to guests as necessary. It is important to note that the Property Services Coordinator is not a security officer and is not permitted to carry any firearms or dangerous weapons while on the premises. The primary responsibility of the Property Services Coordinator is to remain vigilant for any safety or security concerns, reporting any suspicious activities to the appropriate authorities or management without intervening directly.

The Property Services Coordinator is required to reside on-site throughout their employment and must adhere to all guidelines outlined in the Guest Agreement provided to guests.

I. Key Responsibilities:

  • Conduct property patrols during non-office hours.
  • Report any safety or security concerns to management or local authorities as necessary.
  • Address guest inquiries, complaints, and concerns in a courteous and professional manner, both in person and via phone after hours.
  • Foster positive communication and professional relationships with guests.
  • Ensure all storage and employee areas are secured at night.
  • Compile a nightly guest list to confirm that only authorized individuals have access to rooms and the property.
  • Document any issues in the Daily Action Plan for management review.
  • Secure all vacant rooms nightly by obtaining a Vacant Room Report.
  • Contact management immediately regarding any urgent safety or security matters.
  • Verify guest identification and assist locked-out guests with room access in accordance with company procedures.
  • Assist guests with minor maintenance requests.
  • Record all rounds and incidents on the Property Services Coordinator Checklist.
  • Perform additional tasks as assigned by supervisors.
  • Maintain cleanliness and orderliness of the property, ensuring it is free of trash and debris.
  • Adhere to the on-call schedule.
  • Conduct thorough inspections of the property: Three inspections Monday through Saturday at approximately 7:00 PM, 9:00 PM, and after midnight; six inspections on Sunday, with five rounds between 7:00 AM and 11:00 PM and one round after midnight.

II. Required Skills and Qualifications:

  • Ability to read, comprehend, and interpret various internal hotel documents.
  • Proficient in reading, speaking, and writing to effectively communicate with guests and staff.
  • Availability to be on-call five to six days per week as determined by management.
  • Physical stamina to stand and walk for extended periods throughout the hotel.
  • Capability to visually inspect vacant rooms.
  • Ability to work independently with minimal supervision.

III. Preferred Skills and Experience:

  • Any combination of education and experience equivalent to a high school diploma.
  • High school diploma is preferred but not mandatory.

IV. Physical and Mental Demands:

Physical Demands:

  • Work in various indoor environments with both hard and carpeted surfaces.
  • Navigate uneven surfaces and varying weather conditions, including climbing and standing on ladders up to 30 feet high.
  • Engage in frequent walking, standing, climbing, balancing, stooping, kneeling, bending, crouching, and/or crawling during shifts.
  • Lift and carry items weighing over 50 lbs, occasionally up to 100 lbs.
  • Reach with arms extended or overhead.
