Compensation Range: $15.00 to $17.05 Per Hour | Based on Experience

Key Responsibilities of the WHEAP Administrative Support Specialist:
  • Manage a multi-line telephone system, directing calls to the appropriate personnel, and coordinating appointments for program applicants to meet with staff members or guiding them to relevant partner agencies and community resources in a courteous manner.
  • Oversee the organization and updating of all program documentation and outreach materials, including intake files and confidential records, ensuring proper uploads into the system. This may involve translating documents as necessary.
  • Evaluate clients' immediate requirements and guide applicants towards suitable services and programs.
  • Assist in organizing staff meetings, outreach initiatives, and other related gatherings.
  • Handle incoming correspondence, including faxes and emails, by sorting and distributing them appropriately.
  • Welcome visitors and program applicants in a customer-focused manner, providing them with program information and directing them to the relevant staff members.
  • Maintain inventory and supplies by monitoring stock levels, anticipating needs, and submitting orders to management in a timely manner, while also verifying the receipt of ordered supplies.
  • Support the coordination of planned activities, workshops, conferences, and travel arrangements.
  • Offer technical assistance, training, and support to new staff members as required.
  • Participate in meetings, conferences, workshops, and undertake special projects and other related tasks as assigned.
Qualifications for the WHEAP Administrative Support Specialist:
  • High School Diploma (or equivalent) with additional post-secondary education or relevant training in the social services sector.
  • A minimum of six months of experience in customer service or a related field, demonstrating knowledge of corporate office protocols and customer service practices.
  • Bilingual proficiency in Spanish/English (or Rohingya, Burmese, or Arabic) is preferred.
  • Ability to communicate clearly, pleasantly, and courteously, along with strong listening and comprehension skills.
  • Excellent organizational skills with the capacity to retain and convey program information to visitors and applicants.
  • Proficient in Microsoft Office Suite, with a typing speed of at least 50 words per minute.
  • Possession of reliable transportation, a valid driver's license, and adequate vehicle insurance, with the ability to travel as needed.

Physical Requirements:
  • Frequent standing, walking, sitting, and bending.
  • Occasional lifting or moving of items up to 30 lbs.

  • Noise levels are generally quiet to moderate.
Tools and Equipment Utilized:
  • Telephones, computer systems, and web-based software.
  • Fax machines, scanners, and copy machines.
  • First aid equipment and fire extinguishers.
