Administrative Project Coordinator

We are seeking a highly motivated and organized Administrative Project Coordinator to join our team at Quinn Sales Inc. in Gastonia, NC.
About the RoleAs an Administrative Project Coordinator, you will play a vital role in supporting our Project Managers by providing administrative assistance and ensuring smooth project execution.
Key Responsibilities:- Provide general administrative support to Project Managers, including data entry, document management, and communication with stakeholders.
- Assist in contract administration, proposal preparation, and purchase order processing under the guidance of the Operations Manager.
- Process contracts, COI's, work orders, purchase orders, change orders, RFI's, submittals, closeouts, and maintain all logs.
- Timely collection and organization of all documents pertaining to each project.
- Participate in project planning and kick-off meetings, and assist in facilitation of production/operations meetings.
- Maintain project folders for all ongoing and future projects, including lists of required documentation.
- Prepare Installer Warranties and assist with request and submittal of Manufacturer Warranties.
- Track COR's for all ongoing projects, ensure they are processed in accordance with applicable contract documents.
- Serve as liaison in obtaining required documentation from subcontractors and vendors.
- Follow up with GC/owners on payment status and elevate payment issues as needed to the Controller.
- Obtain and provide all additional support for project billings (e.g., waivers, lien releases, other contractual forms).
- Support Finance as needed for bid bonds/P&P bonds and project-related reporting and status updates.
- 3+ years of experience in Construction Administration roles.
- Strong Microsoft Office skills (Word, Excel, Project, etc.).
- Ability to multitask and work efficiently in a fast-paced environment.
- Knowledge of computer project management software and hardware.
- Determination and persistence.
- Excellent leadership and communication skills.
- Competitive salary based on experience ($65,000 - $80,000 per year).
