Job Title: Payroll Administrator

About the Role

This role involves managing the preparation, documentation, distribution, and reconciliation of payroll across multiple states and companies, ensuring timely and accurate processing.

Key Responsibilities:

  • Payroll Processing: Accurately prepare and distribute payroll for both hourly and salaried employees, adhering to established deadlines.
  • Review and Verification: Review payroll computations and associated deductions for accuracy.
  • Timekeeping Administration: Administer and maintain records within the UKG/Ultipro timekeeping system, ensuring accurate timekeeping data.
  • Payroll Inquiries: Handle payroll-related inquiries, providing clear explanations of policies and how they affect pay.
  • Confidentiality and Security: Maintain confidentiality and security of all payroll and employee records.
  • Legislative Compliance: Monitor changes in local, state, and federal payroll legislation and ensure compliance.
  • Direct Deposit and Paychecks: Manage and distribute employee direct deposit vouchers and paychecks within established timeframes.
  • Discrepancies and Escalation: Resolve payroll discrepancies and escalate issues as needed for quick resolution.
  • 401(k) Plan Management: Process and track 401(k) plan investment records and assist with relevant documentation.
  • Audit and Reconciliation: Audit, complete, and file payroll reconciliation reports in collaboration with the accounting team.
  • Document Scanning: Scan and index documents into the company's imaging system.
Requirements

Experience and Qualifications:

  • Minimum of 3 years of multi-state payroll experience, with expertise in UKG/Ultipro required.
  • Professionalism and Confidentiality: Strong professionalism and confidentiality in handling payroll and employee information.
  • Technical Skills: Proficiency in MS Word, Excel, and Outlook.
  • Payroll Tax Calculations: Experience with payroll tax calculations and related compliance.
  • Certification: APA (American Payroll Association) Certification is a plus.
  • Knowledge of Best Practices: Knowledge of best practices for payroll processes and an ability to implement them.
  • Language Skills: Fluent in English (written and verbal); bilingual (English/Spanish) is highly preferred.
  • Collaboration and Adaptability: A strong willingness to learn, grow professionally, and work collaboratively with the team.
  • Education: College coursework in accounting or finance is preferred but not required.
  • Physical Demands: Must be able to operate a 10-key by touch.
