Job Title: Administrative/Bookkeeper

Job Summary:

We are seeking a highly organized and detail-oriented Administrative/Bookkeeper to support our CEO and collaborate closely with our external CPA. The ideal candidate will manage administrative tasks, maintain accurate financial records, and ensure compliance with accounting principles.

Responsibilities:

Administrative Support:

* Provide executive support to the CEO, including managing schedules, coordinating meetings, and handling correspondence.
* Prepare and edit documents, reports, and presentations for the CEO.
* Organize and maintain confidential files and records.
* Coordinate travel arrangements and itineraries for the CEO and other senior staff.
* Assist in the preparation and distribution of company communications.

Bookkeeping Duties:

* Record and reconcile daily financial transactions using accounting software (e.g., QuickBooks, Xero).
* Prepare and maintain financial reports, including balance sheets, income statements, and cash flow statements.
* Process accounts payable and receivable, including invoice generation and payment collection.
* Handle payroll processing and ensure timely payment to employees.
* Work closely with and provide accurate company financials to external CPA to prepare and submit tax forms and ensure compliance with local, state, and federal regulations.
* Assist with budget preparation and financial planning activities.

Collaboration with External CPA:

* Work closely with the external CPA to ensure accurate and timely financial reporting.
* Assist in the preparation of documents and reports required for audits and tax filings.
* Communicate effectively with the CPA to resolve any discrepancies and ensure compliance with accounting standards.
* Provide necessary financial data and reports to support the CPA's work.

Additional Responsibilities:

* Support the management team with various projects and tasks as needed.
* Ensure confidentiality and security of financial and personnel data.
* Provide excellent customer service to clients and vendors.

Requirements:

* High school diploma or equivalent; associate or bachelor's degree in accounting, finance, or related field preferred.
* Minimum of 3 years of experience in bookkeeping or accounting.
* Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Word, Excel, Outlook).
* Strong attention to detail and organizational skills.
* Excellent communication and interpersonal abilities.
* Ability to work independently and as part of a team.
* Knowledge of local, state, and federal tax regulations.
* Experience working with senior management and external accounting professionals is a plus.
