Role Summary

The Surgical Appointment Coordinator is tasked with reaching out to patients to arrange surgeries promptly. This role involves accurately scheduling patients for appointments requested by both physicians and patients for pre-operative and post-operative care. The Coordinator provides patients with necessary information and instructions regarding medications and facility directions. Additionally, the role ensures that all pre-operative clearances and laboratory tests are completed. The Coordinator optimizes and maintains the surgery schedule to maximize the efficiency of the providers' time. It is also essential to ensure that all surgical orders are duly signed by the providers and to provide patients with reminder calls for surgeries and office procedures.

Key Responsibilities

  • Manage the surgical calendar and scheduling, ensuring full appointment slots.
  • Communicate with surgical facilities to arrange and confirm surgeries.
  • Schedule surgeries at appropriate facilities based on the procedure type.
  • Review, complete, and file consent forms and Advance Beneficiary Notices (ABNs), ensuring copies are stored in the electronic medical record.
  • Follow up on any cancelled surgeries to facilitate rescheduling.
  • Contact insurance providers to verify coverage and collaborate with the Surgery Interview department.
  • Recognize the urgency associated with surgical procedures.
  • Ensure all consent forms are properly completed with patient and witness signatures and dates, confirming storage in the electronic medical record.
  • Conduct pre-operative phone calls with patients to confirm arrival details, what to bring, and fasting requirements.
  • Handle surgery billing and resolve any related issues.
  • Update and maintain patient instruction materials.
  • Implement strategies to minimize surgery cancellations.
  • Perform additional duties as assigned.
