Position Overview

Under limited supervision, employees in this role undertake a range of intricate clerical responsibilities. Typically, they are designated to specific service areas where they act as the primary clerical resource; those assigned to educational area offices serve as the main clerical support in the absence of the administrative assistant.


Key Responsibilities

Manage phone communications, relay messages, and prepare meeting environments; engage with students, faculty, staff, and the public to share or clarify information; assist with student enrollment during peak times; examine files, records, and various documents to address inquiries from students, faculty, staff, and the general public, providing information on services, policies, and procedures, and directing them to other campus programs or departments as necessary; compile, organize, duplicate, categorize, and archive documents and records pertinent to office activities and transactions; calculate, document, update, and verify data, schedules, and other information, aiding in the completion of reports; handle outgoing mail and distribute incoming correspondence, packages, and other materials, while monitoring postage meter usage; coordinate servicing and maintenance of office equipment; manage inventory and procurement of office supplies; draft letters, purchase orders, reports, and other correspondence, entering purchase requisition details; assist in the recruitment, training, and supervision of temporary staff; maintain campus information and District forms; perform related duties as assigned.


Complete requisitions, solicit bids and quotes for contracts and maintenance agreements, and follow up with vendors regarding invoices or purchase orders; organize work schedules and set appointments; participate in staff meetings and workshops as required; support students and staff with issues, testing requirements, services, and/or records; mediate complaints/concerns and, if necessary, refer such matters to the appropriate individual.


Minimum Qualifications
EXPERIENCE: Two years of clerical experience.
EDUCATION: One year of college-level coursework in business, office technology, or a related field at an accredited institution may substitute for one year of the required experience.
Promotional: One year of experience within the Los Rios Community College District performing clerical duties. (Promotional applies to regular, current Classified employees working with the Los Rios Community College District.) (Experience Requirement: One year of experience is equivalent to 12 months of full-time work at 40 hours per week. Applicable part-time experience will be converted to the full-time equivalent for the purpose of meeting the experience requirement. Education Requirement: One year of education is equivalent to 30 semester units.) Education must be from an accredited institution.
