Job Overview

ADMINISTRATIVE SUPPORT SPECIALIST

Under the guidance of the Recreation Supervisor and Recreation Specialist, the Administrative Support Specialist is tasked with managing the office functions at a community recreation center. This includes handling program registrations, financial deposits, responding to phone inquiries, processing rental requests, and performing various related duties as needed.

KEY RESPONSIBILITIES

Acts as the primary point of contact for telephone and in-person inquiries at the community center. Welcomes visitors and program participants, providing them with necessary information or directing them to the appropriate office.

Facilitates activity registrations, serves as a cashier, and accurately records and prepares fees for deposits.

Utilizes ActiveNet Recreation Registration Software to process payments for programs and facility rentals, and assists with park permit applications.

Manages daily revenue and receipts within cash registers, ensuring accurate daily reconciliation of all funds received.

Provides administrative support to multiple supervisors and the Recreation Manager.

Establishes and maintains organized files and records for supervisors regarding facility usage and recreation programs.

Employs ActiveNet to coordinate scheduling for events, programs, and rentals at community centers.

Contacts participants regarding returned checks due to insufficient funds to arrange payment.

Performs tasks utilizing basic computer skills.

Assists in organizing special events.

Keeps the office area tidy and orderly.

Monitors office supplies and informs the Recreation Supervisor when replenishments are necessary.

Communicates effectively and courteously with participants and their guardians.

Adheres to both oral and written instructions.

Collaborates harmoniously with colleagues and interacts positively with the public.

Responds to inquiries about various programs, facilities, and park permits.

Completes administrative tasks, including accident and incident reports.

Engages in physical tasks, including lifting, carrying, pushing, and pulling heavy items (up to 30 lbs.), as well as walking, standing, stooping, and crouching for extended periods; climbs ladders as needed.

ADDITIONAL DUTIES

Performs other responsibilities as assigned.


MINIMUM QUALIFICATIONS

Ability to: Comprehend and follow oral and written instructions; read, write, and speak English at a level necessary for effective job performance; work collaboratively with colleagues and the public; assess situations, plan, organize, and prioritize tasks while maintaining flexibility; perform accurate mathematical calculations; effectively utilize District computers and work with word processing and spreadsheet applications; communicate clearly and concisely in both written and spoken forms; make prompt and accurate decisions.

Knowledge and Skills: Proficient in operating office equipment; capable of performing routine clerical tasks requiring independent judgment, speed, and accuracy; skilled in Microsoft Word, Excel, Outlook, Windows, registration procedures, and basic cash handling; possesses good spelling and grammar skills; demonstrates excellent customer service.

PHYSICAL REQUIREMENTS

Must be able to perform physical tasks, including lifting, carrying, pushing, and pulling heavy objects, walking, standing, stooping, and crouching for extended periods; must be able to lift and carry up to 30 pounds.

EDUCATION AND EXPERIENCE

Must be at least 18 years old. High school diploma or equivalent is required. Experience in clerical work and cash handling is preferred.

CERTIFICATIONS

American Red Cross Adult & Pediatric First Aid/CPR/AED Certificate is highly desired.


WORK HOURS

Hours will vary, typically between 9:00 a.m. and 5:00 p.m., Monday through Friday, with occasional evenings, weekends, and holidays.

COMPENSATION

$16.50 per hour

EMPLOYMENT STATUS

Part-time; Non-Exempt.
