Job Description:

At Pennsylvania Cancer Specialists and Research Institute, we are seeking a highly motivated and detail-oriented Front Desk Coordinator to join our team. As a key member of our patient services team, you will play a vital role in ensuring the smooth operation of our front desk and providing exceptional patient care.

Key Responsibilities:
  • Primary Patient Check-in:
    • Verify patient information and demographics, update primary care and referring providers, collect and copy insurance cards, collect co-pays/payments, and manage prior authorization and referral requirements.
  • Primary Patient Check-out:
    • Schedule follow-up appointments, print prescription scripts and visit summaries, and schedule additional appointments as needed.
  • Telephone and Communication:
    • Answer and screen calls, take messages, and provide information in accordance with established procedures.
  • Patient Support:
    • Meet patient needs through various methods, including answering incoming calls, gathering information, and routing appropriately.
  • Administrative Tasks:
    • Maintain desk and clinic supplies, sort and distribute mail, and contribute to the smooth operation of the practice by assisting with patient flow.
  • Scheduling and Coordination:
    • Schedule appointments via phone, in person, or via electronic correspondence, and perform cancellations and rescheduling as needed.
  • Electronic Worklists and Referrals:
    • Evaluate referrals and link to appropriate upcoming appointments, and manage electronic worklists.
  • Patient Records and Documentation:
    • Maintain patient records by obtaining, recording, documenting, scanning, and updating information, and research hospital systems for correct patient documentation.
  • Complaint Resolution and Information Provision:
    • Direct complaints to management from patients or the public, and provide information about the organization, including location of departments or offices, employees, and services provided.
Requirements:
  • Education and Experience:
    • High School Diploma or Equivalent
    • 1-2 years of Medical Terminology and healthcare experience
    • 1 year of Oncology experience, preferred
  • Skills and Qualities:
    • Proficient with MS Office Suite, including Word, Excel, and Outlook
    • Thorough knowledge of office equipment, including multi-phone line, fax, copier, scanners, etc.
    • Excellent verbal communication, interpersonal, and telephone skills
    • Service-oriented with the ability to pay attention to details
    • Ability to maintain cooperative working relationships with co-workers, other departments, and physicians within a team environment
    • Ability to work independently, with little supervision
