Job Overview

Position Summary

The Healthcare Operations Manager is a distinguished leader responsible for driving operational excellence within Mission Autism Clinics LLC. This role demands a comprehensive understanding of leadership principles, strategic foresight, a robust cultural mindset, and experience in staff coordination. The manager will supervise Behavior Technicians and collaborate closely with Clinical Leadership to ensure smooth daily operations while fostering a culture of excellence and innovation. This includes the development, planning, and execution of broad administrative activities aimed at achieving organizational goals within the assigned clinics.

Key Responsibilities:

  • Oversee direct reports (BHT/RBT) to ensure performance standards are met; provide mentorship, coaching, and counseling as needed to maintain compliance with established policies and procedures.
  • Act as the primary liaison for communication with families and external stakeholders regarding all non-clinical elements of client programming and site management.
  • Prepare, update, and disseminate statistical reports, analyses, and exhibits to company stakeholders and, when necessary, to regulatory and governmental bodies.
  • Develop executive-level presentations on a weekly/monthly basis for Regional leaders, focusing on overall operational success.
  • Assist in the development, implementation, monitoring, and enforcement of policies and procedures, including regular audits of training plans, client files, safety drills, site safety, and quality improvement metrics. Ensure adherence to staff qualifications and training requirements, as well as IBHS site standards.
  • Maintain a strong focus on staff and client coordination within the assigned clinic, including weekly assessments of staffing needs and client census projections.
  • Evaluate programmatic operations against established objectives, quality assurance/service standards, and financial criteria, submitting performance plans monthly. Initiate clinic-specific initiatives to drive growth and financial stability.
  • Establish and maintain relationships with external vendors and manage all clinic purchases on a monthly basis.
  • Collaborate cross-functionally with other departments such as clinical, billing, intake, recruitment, community, QA, marketing, and IT.
  • Ensure that staff schedules align with the needs of the children, youth, and young adults served, accommodating the schedules of their parents, legal guardians, or caregivers. Adjust scheduling and sessions as necessary.
  • Perform additional duties as assigned.

Qualifications:

  • Bachelor's degree required; Master's degree preferred.
  • A minimum of three years of operational experience, including at least one year in a supervisory role, is required.
  • Availability to be on-site Monday through Friday from 8:00 AM to 4:30 PM.
  • Demonstrated exceptional business acumen in the management of healthcare facilities.
  • Experience with Central Reach EMR is highly preferred; strong proficiency in Microsoft applications (Outlook, Excel, Teams) is essential.
  • Ability to develop and implement action plans for underperforming staff.
  • Excellent verbal and written communication skills.
  • Professional and tactful interpersonal skills, capable of interacting with diverse personalities.
  • Strong leadership and supervisory capabilities.
  • Outstanding organizational skills and attention to detail, with proven time management abilities to meet deadlines.
