Key Responsibilities:
1. Build and maintain effective relationships with both internal and external stakeholders.
2. Coordinate facility resources to ensure that systems are well-maintained and operations run smoothly.
3. Prioritize maintenance needs and uphold facilities standards.
4. Dispatch maintenance technicians and ensure clarity in work orders, providing necessary instructions and resources.
5. Follow up on work orders as needed.
6. Manage outsourced maintenance and repair tasks, ensuring quality and cost-effectiveness.
7. Communicate proactively with management, staff, and tenants regarding maintenance schedules and updates.
8. Maintain a comprehensive facilities maintenance database and generate reports on work order volumes and turnaround times.
9. Address tenant maintenance requests and ensure compliance with lease agreements.
10. Obtain necessary approvals for improvements and maintain proper documentation.
11. Oversee vendor relationships, including soliciting bids and ensuring quality service delivery.
12. Coordinate capital projects, including renovations and maintenance initiatives.
13. Maintain preventive maintenance schedules and ensure timely execution.
14. Assist in budget preparation and invoice processing.
15. Support the development and maintenance of departmental documentation and systems.
16. Participate in new construction and renovation projects as required.
17. Perform additional duties as assigned.
Essential Skills and Qualifications:
- Knowledge of facilities maintenance and vendor management.
- Understanding of lease agreements and landlord-tenant dynamics.
- Strong interpersonal skills to foster positive relationships.
- Professionalism and ethical conduct in all interactions.
- Ability to manage stressful situations calmly.
- Competence in organizing and problem-solving.
- Proficiency in basic computer functions and communication skills.
- Attention to detail and multitasking abilities.
- Ability to work independently and collaboratively.
Required Qualifications:
- High School diploma or equivalent.
- Minimum of 2 years of experience in facilities coordination.
- Valid driver's license and reliable transportation.
- Access to a smartphone for communication.
