Role Summary

The Guest Services Coordinator is responsible for welcoming guests, residents, and staff, managing incoming and outgoing calls, taking and relaying messages, and providing general information.

Key Responsibilities:

  • Performs telephone reception and greeting duties as needed.
  • Records detailed messages with essential information and ensures timely communication to the appropriate parties.
  • Welcomes residents and visitors, addresses inquiries, and provides directions.
  • Assembles marketing materials for distribution.
  • Prepares meal tickets for staff and family members, and maintains meal count records for the dining team.
  • Updates the Resident Contact List and daily logs for move-ins and move-outs, as well as guest sign-in records as required.
  • Coordinates appointments for residents and their families, including services such as hairdressing and transportation.
  • Keeps the reception area organized and tidy.
  • Sorts and distributes mail to residents and staff members.
  • Maintains records for resident credits.
  • Adheres to all company policies and operational procedures.
  • Performs additional duties as assigned.

Qualifications:

  • High school diploma or equivalent preferred.
  • One to three years of experience in customer service or related training; or a combination of education and experience.
