The Vendor Relations Coordinator plays a crucial role within the Xometry Sales Operations team, focusing on the onboarding and ongoing management of vendor relationships. This position ensures that all vendor documentation is consistent, confirms the completion of vendor requests, and addresses portal inquiries. Collaborating closely with the sales team, you will serve as the subject matter expert responsible for driving Approved Vendor List (AVL) initiatives.
In addition, the Vendor Relations Coordinator will continuously seek opportunities to enhance operational efficiency, contributing to the implementation of solutions that improve data capture and bolster confidence in data integrity and reporting accuracy.
Key Responsibilities:- Develop and implement internal policies, processes, and standards to enhance collaboration with customers and business partners.
- Oversee the completion of various customer AVL documentation, ensuring accuracy and timeliness.
- Foster and maintain strong relationships with stakeholders across the organization, including sales, legal, compliance, security, and finance.
- Review and refine processes and procedures to ensure robust controls are in place, mitigating risks associated with vendor status lapses.
- Manage portal responsibilities, delegating tasks to appropriate internal stakeholders and ensuring timely updates and communications.
- Oversee the formal quote request process, guiding internal teams in the preparation of necessary documentation.
- Coordinate deliverable requests from regulators/auditors related to quality assurance, ensuring timely collection and documentation of information.
- Assess compliance reporting requests and create self-service resources for customers, or assign responses to internal stakeholders as needed.
Design and implement solutions to optimize business processes, ensuring comprehensive documentation for stakeholder self-service.
- Act as the primary contact for users seeking guidance on vendor/supplier setup procedures.
- Monitor the progress of vendor/supplier requests, ensuring adherence to established procedures and providing support as necessary.
- Evaluate the potential for software solutions to streamline operational processes.
- Support customer onboarding initiatives to strengthen relationships and maximize the utilization of Xometry's offerings based on client needs.
- Initiate contractual relationships using Xometry's procurement software and provide ongoing support as required.
- Negotiate and finalize supplier and quality agreements, reviewing quality manuals and assisting in customer communications to clarify expectations.
- Review and address compliance requirements as they arise.
- Minimum of 3 years of experience in compliance management and project management, with a proven track record in process development.
- At least 3 years of sales experience.
- 3+ years of experience in the manufacturing sector is preferred.
- Strong critical thinking skills and the ability to work independently.
- Proficiency in navigating multiple systems and technologies.
- Experience with CRM systems (e.g., Salesforce) and comfortable with data entry.
- Ability to handle confidential information with integrity.
- Proven ability to work effectively both as part of a team and independently.
- Excellent communication skills, with a focus on clarity and conciseness.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Familiarity with compliance and information risk controls is a plus, but not mandatory.
