The Finance Operations Manager plays a crucial role in overseeing the daily accounts receivable and accounts payable operations to fulfill the financial commitments of the organization.

The key responsibility involves ensuring compliance with best practices in cash management and accounts payable while adhering to the organization's policies and procedures.


ESSENTIAL FUNCTIONS:
Supervise subordinate staff in their daily job performance.

Guarantee prompt payments of vendor invoices and expense claims, ensuring all discounts are utilized and late fees are avoided.

In collaboration with the Accounts Payable team, track AP Aging to ensure timely invoice payments.

Review daily cash reconciliations and monitor cash balances to assist in managing daily liquidity, confirming that accounts are sufficiently funded.

Complete timely postings for the month-end closing process to ensure efficient transaction management and accurate data transmission to corresponding financial statements.

Maintain records of cash balances, including posting checks issued, deposits made, and other cash transactions.
Oversee W-9 verification and the setup of new vendors, as well as prepare vendor 1099s and 1096s annually.
Provide compliance oversight of the P Card portal, including account issuance and payments.
Collaborate with the Accounts Payable department to manage and execute biweekly payroll processes, including payroll balance, reconciliation, and processing.
Implement policies and procedures while bringing inconsistencies and issues to management's attention.
Work in partnership with other departments to provide compliance-centered training and mentorship as requested by upper management.
Punctuality, timeliness, and adherence to the specified work schedule and office hours are essential.

Additionally, the Finance Operations Manager is expected to actively perform and complete their duties on a daily, weekly, or monthly basis, or as otherwise directed by the Controller or Chief Financial Officer.

Perform other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES – GENERAL PERFORMANCE:
Understanding of accounting principles, cash management, and treasury practices.
Strong analytical skills with knowledge of accounting/financial reporting and financial modeling are essential.
Attention to detail, thoroughness, and accuracy are critical.
Ability to proactively identify issues and suggest potential solutions.
Proficient computer skills, including Accounting/AP software (Yardi, SAP, MAS) and Microsoft Office, particularly Excel.
Capacity to learn and master industry-specific software.
Must handle sensitive information with high confidentiality.
Intellectually curious with a thoughtful approach, demonstrating problem-solving and analytical skills along with a positive attitude.
Strong communication skills, with the ability to effectively communicate across a matrixed organization, with employees, business associates, and management.

SUPERVISORY RESPONSIBILITY:


The Finance Operations Manager may provide supervisory oversight to Accounts Payable processors and/or Treasury processors, monitoring work for adherence to policy and achievement of goals and objectives.

The Finance Operations Manager is expected to plan and execute work activities with minimal supervision, anticipating issues and independently resolving problems that arise.


EDUCATION AND EXPERIENCE REQUIRED:
Bachelor's Degree in Accounting, Finance, or a related field
OR
An Associate's Degree in Business with 6 years of relevant experience in the field.
Previous experience in treasury management is preferred.

PHYSICAL AND MENTAL REQUIREMENTS:
Ability to sit and work at a computer for extended periods.
Ability to lift files, open filing cabinets, and bend or stoop as necessary.
Close vision is required for this position.
Ability to occasionally lift office products and supplies, up to 20 pounds.

The mental work demands regular attendance, effective collaboration with others, verbal communication, noise, and occasional travel by conventional means within the organization's region and other locations as required.
