Job Summary

Baird Holm LLP is seeking a skilled Billing Specialist to join our Accounting team. As a key member of our team, you will play a crucial role in ensuring the accurate and timely processing of client billings and collections.

Key Responsibilities
  • Set up new clients and matters in our billing software, ensuring seamless integration and efficient data management.
  • Work closely with attorneys to ensure timely and accurate posting of time records, maintaining the highest level of accuracy and attention to detail.
  • Create month-end proformas and edit based on information from billing attorneys, ensuring compliance with firm policies and procedures.
  • Convert proformas to monthly invoices and mail/email to clients according to billing instructions, maintaining a high level of professionalism and customer service.
  • Maintain accurate and current billing instructions for all assigned clients and matters, ensuring seamless communication and efficient billing processes.
  • Enter weekly client "soft costs" into the billing system, accurately capturing and recording financial data.
  • Post daily cash receipts, ensuring timely and accurate financial processing.
  • Compile necessary reports for the executive committee, providing valuable insights and data-driven recommendations.
  • Monitor and manage outstanding client balances, preparing monthly aging reports and sending past due notices to clients as needed.
  • Resolve billing inquiries from clients, attorneys, and legal assistants, providing prompt and professional support.
  • Complete special projects as assigned by supervisor, demonstrating adaptability and a willingness to learn and grow.
Requirements
  • Minimum of a high school diploma with two years related billing or accounting work experience preferred.
  • Attention to detail and ability to problem solve, with a strong focus on accuracy and quality.
  • Above average computer skills with an intermediate level knowledge of Microsoft Outlook, Excel, and Word.
  • Good communication skills, verbal and written, with the ability to effectively communicate with clients, attorneys, and team members.
  • High degree of accuracy and aptitude for math and figures, with a strong understanding of financial concepts and principles.
  • Ability to prioritize and plan work activities to maximize time efficiently, with a strong focus on productivity and results.
  • Ability to work both independently and in a team environment, with a strong focus on collaboration and teamwork.
  • Ability to work in a professional environment, with a strong focus on integrity, ethics, and professionalism.
  • Positive customer service orientation, with a strong focus on delivering exceptional service and support.
  • General knowledge of accounting and understanding of the general ledger accounts and how they relate to billing and collections.
