Job Summary

We are seeking a highly organized and self-motivated Business Administrative Assistant to support our senior leadership team at Toyota Manufacturing. The successful candidate will be responsible for performing administrative duties, scheduling meetings, and managing visitor schedules. They will also be responsible for creating and updating reports, handling external requests, and scheduling travel and expense reports.

Key Responsibilities
  • Scheduling meetings and time for senior leadership
  • General administrative/clerical duties as assigned to senior leadership
  • Creating and updating weekly/monthly reports
  • Managing visitor schedules and accommodations
  • Handling external requests for time with senior leadership
  • Creating documents and presentations for senior leadership meetings
  • Scheduling travel and support with expense reports for senior leadership
  • Daily, weekly, and monthly reporting of projects and activities
  • Working with other associate staff within Toyota Manufacturing
  • Managing requests related to office usage, facilitating necessary approvals, and providing directions and contacts
  • Developing methods to identify and resolve problems
  • Developing options for problem resolution and seeking management approval to implement
Requirements
  • Bachelor's degree (or higher) in Business Administration, related field, or equivalent professional experience
  • Experience with Microsoft Word, PowerPoint, Excel, and Outlook
  • Experience in a fast-paced role requiring consistent follow-up to ensure tasks are completed in a timely manner
  • Experience in a role utilizing organizational skills
  • Experience in a role with quickly changing responsibilities, tasks, and assignments and the ability to manage at a quick pace
  • Experience supporting senior leadership in an administrative role
  • Ability to travel less than 10%
