Position Overview:
Mott MacDonald is seeking a dedicated, self-sufficient, and detail-oriented team member for the role of Project Management Controls Analyst. This position will provide support across various sectors in the Northeast region, including Aviation, Buildings, Energy, Highways, Bridges, Rail, Tunnels, Water, and Environment.
Key Responsibilities:
The Project Management Controls Analyst will be responsible for the following tasks:
1. Assist in the creation of project Work Breakdown Structures (WBS), budgets, resource forecasts, risk registers, and standardized internal documentation.
2. Monitor and report on planned expenditures, actual costs, and estimates to complete.
3. Compile, analyze, and report on project financials, including costs, profits, and budget trends.
4. Conduct data validation and quality assurance checks on project expenses and invoices.
5. Facilitate and support the completion of internal quality and reporting requirements.
6. Initiate and manage purchase orders.
7. Perform quality assessments and facilitate the processing of subconsultant invoices while tracking their progress against budgets.
8. Prepare ad-hoc reports for distribution.
9. Collaborate with project managers, invoicers, and the accounting team to address project needs and resolve issues.
10. Communicate effectively with Project Management Controls colleagues and collaborate as necessary.
Additional Responsibilities:
The Project Management Controls Analyst may also:
1. Provide support during the bidding phase, including assisting in the development of fee proposals.
2. Manage the contract amendment process and assist in creating submission documents.
3. Support Project Managers in contract auditing and negotiation activities.
4. Create and manage scope change documents and track their progress.
5. Attend meetings, prepare notes/minutes, and produce materials for discussions.
6. Assist with timesheet and expense report processing.
7. Perform project document control and review submissions for compliance.
8. Undertake other duties as required.
Qualifications:
The ideal candidate for the Project Management Controls Analyst position will possess:
1. A strong command of Excel.
2. Experience with ERP accounting systems.
3. A background in engineering projects is preferred.
4. A working knowledge of the project design process and configuration management is advantageous.
5. The ability to track budgets and deliverables against overall project requirements.
6. Strong organizational skills and the ability to manage deadlines across multiple projects.
7. Excellent written and verbal communication skills.
8. Familiarity with reading and understanding project schedules is preferred.
9. Experience with SharePoint is a plus.
