Job Title: Office Manager
Job Summary:
The Office Manager is responsible for overseeing the daily operations of the dealership's office, ensuring accurate financial representation, and maintaining reliable data processing capabilities.
Key Responsibilities:
- Assist the controller in preparing complete financial statements and ensure timely submission.
- Interpret and analyze financial statements to identify trends and areas for improvement.
- Supervise office staff, including receptionists and cashiers, to ensure efficient office operations.
- Keep the controller informed about business trends and cash needs.
- Review and approve journal entries, including adjustments to inventory, COGS, and expense accounts.
- Process workmen's compensation and insurance claims in a timely manner.
- Coordinate and prepare month-end reconciliations for all accounts and physical inventories.
- Maintain and post standard monthly entries.
- Set up fixed asset and prepaid asset accounts.
- Work with office staff to ensure timely completion of assigned tasks.
- Assist in preparing for annual internal and external audits.
- Complete end-of-month accounting reports.
- Calculate and reconcile depreciation expense monthly.
- Set up and maintain accruals for expenses, such as advertising, insurance, and professional expenses.
- Run and review expense trend reports monthly.
- Provide backup support for cashiers and receptionists as needed.
Requirements:
- Accounting degree or equivalent experience.
- Ability to read and comprehend instructions and information.
- Two years of experience in a dealership office position.
- Working knowledge of dealership financial statements.
- Ability to explain technical financial information in an understandable manner.
- Excellent communication skills.
- Professional personal appearance.
- Authorization to work in the USA.
- Ability to demonstrate a safe work environment.
