  • Receive, categorize, and distribute incoming correspondence, including mail and delivery packages.
  • Maintain and update detailed spreadsheets to track and report on inventory levels.
  • Keep an organized record of materials inventory to support procurement and inventory management.
  • Accurately collect, review, and document fuel receipts.
  • Input data into ADP software for accurate payroll processing and record maintenance.
  • Manage timecard entries to ensure precise tracking of employee hours and timely payroll.
  • Utilize Excel to monitor incoming materials and their associated costs.
  • Prepare and dispatch all outgoing mail and packages daily; oversee postage and courier services.
  • Order and manage supplies for the field office and job sites.
  • Check and respond to incoming email requests from the site information email box, if applicable.
  • Coordinate travel arrangements for employees and candidates while monitoring travel expenses.
  • Draft memorandums, letters, and other necessary documents as required.
  • Assist with project submittals, including clerical revisions as needed by the Project Manager.
  • Ensure the office and storage areas are organized and maintained.
  • Organize site events, crew lunches, meetings, and other gatherings.
  • Take on additional tasks and special projects as assigned.

Required Qualifications:

  • High school diploma or equivalent.
  • Valid Driver's License with the ability to drive for company-related tasks.
  • Highly motivated with a strong commitment to excellence and initiative.
  • Strong work ethic with a focus on ethics and integrity.
  • Dedication to safety, ensuring a secure work environment.
  • Ability to work collaboratively as part of a team and independently to achieve goals.
  • Exceptional organizational skills, time management, and attention to detail.
  • Proficient in computer applications, including Microsoft Office, Outlook, and Excel.
  • Excellent verbal and written communication abilities.
  • Demonstrated leadership skills, independent judgment, and creativity in problem-solving.
  • Proactive and responsive to both internal and external stakeholders.
  • Strong problem-solving and decision-making capabilities.

Physical Demands:

To successfully perform the essential functions of this position, employees must meet the physical and mental demands required. This includes frequent sitting, standing, walking, and using hands for various tasks. Employees should be able to occasionally lift and/or move up to 50 pounds.
