Position Overview

This role is pivotal in overseeing daily operations associated with the Registrar's Office and the student records division.

The primary focus is on the training and development of Records & Enrollment Technician personnel and Federal Work Study students, addressing issues related to document management, student information systems, and customer relationship management.

Key responsibilities include monitoring and ensuring the timely processing of academic documents, transcript requests, grade updates, and record management to maintain accurate student files.

Conducts analysis and research on student documentation and processing challenges to improve service efficiency. Generates and finalizes reports for the Registrar's Office to ensure the integrity of student records.

Facilitates the dissemination and enforcement of admissions eligibility criteria, as well as University policies and procedures, to students, faculty, and staff, promoting compliance and understanding of institutional guidelines.

This position also plays a crucial role in maintaining record accuracy and adhering to FERPA regulations within administrative practices.


Core Responsibilities:


Primarily accountable for training all Records & Enrollment Technicians to guarantee the efficient processing of all departmental tasks, including the management of incoming and outgoing documents, enrollment verifications, and other activities related to student academic records.

Responsible for instructing Records staff in various software systems, including SOAR Peoplesoft, Hyland OnBase, Oracle CRM RightNow, and Parchment, in collaboration with the Supervisor of Technical Records.

Tasked with the creation and upkeep of training materials such as Job Aids and PowerPoint presentations.

Utilizes SOAR queries to identify files ready for evaluation through automated workflows and to inform students of any missing documentation.

Oversees daily reporting and task assignments for Records & Enrollment staff.

Conducts thorough reviews of reports and processes for the Registrar's Office to ensure the accuracy of student data, delegating report data to Records & Enrollment Technicians for necessary updates.

Supervises the digitization and integration of enrollment documents, transcripts, and other academic records into the document management system (Hyland OnBase) and updates the student information system accordingly.

Provides expert guidance on document processing and serves as a secondary point of contact for escalated student and staff inquiries after Records & Enrollment Technicians.

Engages in research and presents resolution options to Supervisors and staff within the Registrar's Office.

Offers troubleshooting support and feedback regarding business processes and the input processing and archival/retrieval systems. Advises the Supervisor of Technical Records and the Registrar on potential solutions.

Coordinates ongoing quality reviews of student files, enhances communication, and improves policy and procedural documentation.

Manages the processing of Attendance Verification forms, Change of Grade forms, and Extension of Incomplete Grade forms, assisting in the resolution and communication of relevant policies and procedures for student or faculty disputes regarding grades or attendance.

Collaborates with School Deans and Grade Appeal Committees to update SOAR records for students involved in the appeal process.

Alerts supervisors to ensure prompt verification and updates of Academic Standing when grades or attendance records are modified.

Works in conjunction with Financial Aid and Student Accounts departments to manage the addition and removal of disputed classes for accurate fee adjustments.

Provides proficient support and information for inquiries from students and staff regarding the status of enrollment documentation, transcript orders, grades, attendance, and University enrollment and degree information.

Acts as a third-level support resource for Records & Enrollment Technicians on complex inquiries related to transcripts, attendance, enrollment information, and University standing.

Documents inquiries in student files using the customer relationship management system and student information system.

Assists the Supervisor of Technical Records with special projects pertaining to University policy updates, business processes, and the implementation of new software solutions.

Participates in meetings, testing, and offers suggestions for improvements and successful project rollouts.

Supervisory Responsibilities:
Conduct interviews, training, and development for up to 10 staff members in an indirect supervisory capacity.


Qualifications:
Education & Experience:
Associate's degree or equivalent relevant experience is required.

Experience:
Minimum of three (3) years in an office environment, including two (2) years in higher education (preferably in a registrar's office) with a solid understanding of file management.
Experience with scanning, document management systems, customer relationship management systems, and/or student information systems is essential.

Technical / Functional Skills:
General proficiency in Microsoft Windows and Office Suite.
Knowledge of Adobe Acrobat Pro for PDF creation and editing.
Experience with Hyland OnBase, Hyland Brainware, Oracle Right Now, and SOAR PeopleSoft is preferred.

Strong computer skills and familiarity with software applications; preference will be given to candidates with experience in Windows 7 or higher and document management and student information systems.
