Job Summary

The Institute for Comm Living is seeking a highly organized and detail-oriented Program Assistant to provide administrative and clerical support to the Director and staff of the Bronx Act Team II. The successful candidate will serve as the liaison between the program and other agency departments and programs, managing medical records, operating and coordinating the management information system, and maintaining accounting and budget records.

Key Responsibilities:

  • Manage office operations, including filing, supply management, and equipment maintenance.
  • Prepare and submit purchase orders, monitor inventory, and maintain accurate records.
  • Develop and implement program monitoring systems, including client chart tracking and reporting.
  • Provide reception services, including phone calls, visitors, and correspondence.
  • Maintain electronic and hard-copy files, design and set up filing systems, and purge obsolete material.
  • Perform various administrative tasks, including typing, distributing meeting notes, and organizing office operations.

Requirements:

  • High school diploma or equivalent, plus at least two years of clerical or secretarial experience.
  • Ability to use computer work processing equipment and programs, including Microsoft Word.
  • Strong communication and interpersonal skills, with the ability to work effectively with staff and consumers.
  • Knowledge of office and secretarial practices, procedures, and policies.
