Job Overview

The Real Estate Marketing & Administrative Assistant plays a crucial role in supporting the operations of the Umstead and Oak Team, which is affiliated with Keller Williams Raleigh. This position is designed to ensure seamless execution of both buyer and seller transactions while managing daily office functions with a strong focus on client hospitality.

Compensation:

$25 - $30 hourly

Key Responsibilities:

Office Management and Administration

  • Oversee executive schedules, travel arrangements, and office budgets.
  • Manage accounts receivable and payable, payroll, expenses, and mileage tracking.
  • Streamline communications and enhance office productivity.
  • Facilitate onboarding, training, and support for new team members.
  • Ensure compliance with organization licenses, certifications, and necessary credentials.

Transaction Coordination

  • Assist in managing transaction processes, including listings, contract execution, and legal adherence.
  • Organize listing appointments, property details, and preparation activities.
  • Handle MLS entries, promotional marketing efforts, and negotiation processes.
  • Ensure efficient progression of buyer transactions and manage all related communications.

Marketing and Client Engagement

  • Create marketing materials, oversee social media presence, and maintain brand consistency.
  • Develop neighborhood content for client education and organize client engagement events.
  • Manage communication strategies, client updates, and regular newsletters.
  • Coordinate and assist with team-hosted events.
  • Field inquiries from digital platforms and social media channels.

Additional Duties

  • Perform various managerial tasks while maintaining necessary professional credentials.
  • Respond to client feedback, draft legal documents, and manage team roles.
  • Adapt work style to accommodate diverse entrepreneurial tasks as required.
  • Collaborate with the firm's MCA to meet mutual goals and compliance requirements as requested by leadership.
Qualifications:
  • Possession of a valid Real Estate License is mandatory.
  • A background in real estate is essential for this role.
  • Strong verbal and written communication skills are required.
  • Availability during weekends and evenings is necessary.
  • A high school diploma or GED is required.
