Position Overview: Under the general oversight of the Deputy Parks & Facilities Director, the individual in this role will manage the daily functions of McGee Park, which includes overseeing events, staff, and security personnel.

Key Responsibilities:

  • Conduct a variety of clerical, technical, organizational, and administrative tasks related to event scheduling and coordination at McGee Park.
  • Serve as the primary representative of the department, requiring exceptional public relations and communication abilities, along with strong multi-tasking skills.

Qualifications: An Associate's degree in business administration or a related field, combined with five (5) years of relevant experience, or an equivalent combination of education and experience to fulfill the duties of this position. Proficiency in all social media platforms is essential. A valid State of New Mexico Driver's license is required or must be obtained within six (6) months of employment.

Work Environment: The role is primarily office-based, with potential exposure to repetitive motions such as typing and data entry. The position may also require extended periods of concentration while reviewing documents and reports, as well as physical activities like bending, reaching, kneeling, and lifting to retrieve files and records.

Work Schedule: This is a full-time position that may require working nights, weekends, holidays, and overtime. Flexibility in scheduling is necessary to meet the operational needs of the facility.

Major Duties: The following list is not exhaustive but provides a representative summary of the primary duties and responsibilities:

  • Ensure client needs are met effectively, managing all aspects of events from initial contact to execution, including availability checks and resource coordination.
  • Negotiate, prepare, and execute event contracts, ensuring compliance with all contractual obligations, including insurance and security requirements.
  • Establish event fees that are competitive with local venues to maximize revenue, collect payments, and complete deposits according to departmental procedures.
  • Plan, direct, and coordinate all events at McGee Park, including creating and revising event layouts and preparing necessary documentation.
  • Oversee event staff schedules, ensuring appropriate manpower is assigned for setup and teardown, and communicate event requirements effectively.
  • Supervise security personnel to ensure the safety of all visitors and staff, manage guard shifts, and document any incidents that occur.
  • Utilize the county's electronic payroll system for data management and reconciliation of monthly credit card statements.
  • Maintain and update the web-based event calendar and social media platforms.
  • Coordinate community service personnel as directed, ensuring compliance with required documentation.
  • Prepare correspondence, legal documents, and other communications, ensuring adherence to accessibility guidelines.
