The Field Support Administrator serves as a vital link between field operations and office staff, undertaking a variety of essential responsibilities to maintain an organized office environment. Proficiency in Office Suite applications, data entry, and document tracking is crucial for this role.
Key Responsibilities:
The primary responsibilities include, but are not limited to:
- Creating and managing detailed spreadsheets to track project progress.
- Collaborating with Foreman/Supervisor/Superintendent to address customer requirements.
- Coordinating and monitoring new work and main tracking systems.
- Verifying and processing necessary documentation and permits as required by clients.
- Receiving work orders through customer portals or email communications.
- Handling remote ticket entries and ensuring compliance with 811 One Call protocols.
- Assisting Foreman with inquiries related to ticket numbers and work orders.
- Processing daily completed projects for both external and internal customer records.
- Scheduling subcontractors based on dispatch needs.
- Managing invoices for subcontractors related to passthrough billing.
- Supporting various projects and fulfilling customer commitments.
- Assisting with documentation for new hire candidates.
- Ensuring timely and accurate production of reports and documents.
- Performing additional tasks as required by local field operations and customer needs.
Qualifications:
- A High School Diploma is required; a business degree or certificate with a focus on business administration is preferred.
- A minimum of two (2) years of administrative experience is required, ideally within the construction industry. Strong written, verbal, and communication skills are essential, along with a proven ability to solve problems and a background in customer service.
Physical Requirements:
The physical demands outlined here represent those that must be met by an employee to successfully perform the essential functions of this position. While executing the duties of this role, the employee is regularly required to communicate effectively and listen attentively. Frequent requirements include standing, walking, using hands/fingers for handling tasks, and reaching with hands and arms.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, crouch, and lift up to 15 pounds regularly.
