Orthodontic Treatment Coordinator

We are seeking a highly skilled Orthodontic Treatment Coordinator to join our team at ProSmile. As a key member of our operations team, you will play a critical role in ensuring the smooth delivery of our orthodontic services.
Key Responsibilities- Coordinate patient communications to ensure a commitment to dental treatment plans
- Establish effective relationships between doctors, staff members, and patients
- Clearly present treatment options to patients and parents
- Manage patient appointments, including sending reminders and following up on missed appointments
- Provide patients with detailed information on dental financing options
- Respond to patient and parent inquiries in a timely and courteous manner
- Maintain strong relationships with patients and dental staff
- Discuss follow-up procedures with patients
- Maintain inventory of dental supplies and reorder as necessary
- Convince patients to commit to follow-up treatments
- Address billing and insurance issues in a timely manner
- Address patient concerns and grievances in a timely manner
- Greet patients and answer any immediate questions
- Contact patients with appointment reminders
- Verify and update patient demographic data
- Collect insurance information from patients and parents
- Verify insurance benefits
- Verify patient payments are up to date
- Follow up with unpaid insurance
- Promote in-office marketing items
- Gather and submit claims and documents required by insurance companies
- Set up patient accounts in the auto-pay system (OrthoBanc)
- Perform hard credit inquiries and set up financing (Care Credit)
- Ensure office profitability by building productive schedules
- Follow up with patients' recall visits
- Enter transactions and post payments
- Review provider schedules and charts (if applicable)
- Ensure accuracy of accounts
- Collect signatures on contracts and consent forms
- Ensure lab cases are sent to the lab and follow up on lab cases returned from the lab
- Prepare accounts for debond (retention agreements, termination waivers, reconcile final balances)
- Ability to travel daily to multiple dental practices and the corporate office
- Ensure the provider reaches goal production
- Perform miscellaneous job-related duties as assigned
- Substantial familiarity with orthodontic treatments and procedures
- Strong knowledge of financing options and dental payment processing
- Proficient in the use of MS Office software applications
- Remarkable understanding of dental insurance claims
- Excellent interpersonal skills and communication abilities
- Impressive ability to efficiently manage multiple tasks
