Billing Manager Job Description

The Billing Manager is a key role within Climate Pros, responsible for overseeing the technical aspects of billing, including IT enhancements, testing, and troubleshooting. This position collaborates with the Branch Coordinator (BC) billing function and an internal team for non-pod submissions and disputes. The Billing Manager manages one direct report, oversees productivity, metrics (KPIs), and billing assignments across the company.

Key Responsibilities:
  • Assist in hiring and selecting new branch coordinators and provide training for optimal performance.
  • Monitor KPIs for identification of training or developmental needs of BCs working through their direct management.
  • Weekly assessment of dispatches sitting in certain statuses to ensure timely completion, including review, ready for billing, refer tracking, and manager approval needed, as well as all invoice statuses.
  • Collaborate with account management to set up customer billing automations properly.
  • Develop and maintain procedures and policies in Acadia.
  • Identify issues affecting company goals to get to 4 days from dispatch to invoice and implement corrective actions.
  • Identify IT enhancements needed and write up business requirements, meet with developers to answer questions, test completed programming, and develop/train BCs on new enhancements and automations.
  • Troubleshoot system issues in FJX or 3rd party systems, including Avalara.
  • Review monthly invoices from 3rd party systems and approve payment.
  • Collaborate with other departments to ensure any issues with accounts are resolved and billing errors are addressed. Provide updates to all billers as needed.
  • Point person for customer onboarding for the billing function.
  • Research and approve credit memos up to $500.00.
Requirements:
  • 2+ years of supervisory experience in a similar role.
  • Well-versed with the application of mathematics, statistics, accounts, and other concepts for billing operations.
  • An excellent leader who can guide and mentor staff to achieve perfect results.
  • Able to handle stress that may arise due to consistent workload, irate clients, or errors made by staff.
  • Able to identify root cause of problems and provide effective solutions to eliminate further occurrence.
  • Experience with a large customer base and high transaction volume.
  • Excellent oral and written communication skills.
  • Advanced math aptitude.
  • Excellent interpersonal and highly collaborative.
  • Ability to act with discretion, tact, and professionalism in all situations.
  • Ability to maintain records and produce reports.
  • Ability to learn quickly and change often as business changes and grows.
  • Bachelor's Degree in Accounting, Economics, or Finance; MBA highly preferred.
  • Proficient computer knowledge, including MS Office - Word, Excel, Outlook, and PowerPoint.
