LifeLong Medical Care is seeking a Clinic Operations Specialist to contribute to our dynamic health center.

The Clinic Operations Specialist will collaborate with a diverse team to provide comprehensive primary care services within a community-focused environment.

Under the guidance of the Center Director or Supervisor, the Clinic Operations Specialist is tasked with ensuring smooth and welcoming front office functions, which include patient reception, appointment management, registration, telephone communications, and financial eligibility verification, while also maintaining a secure lobby area.

This is a full-time role with eligibility for benefits, encompassing 40 hours of work each week.

This position is represented by SEIU-UHW.

Compensation and benefits are determined by a collective bargaining agreement (CBA), and employees in this role must maintain membership in good standing with SEIU-UHW, as outlined in the CBA.


LifeLong Medical Care operates as a large, multi-site, Federally Qualified Health Center (FQHC) dedicated to delivering innovative healthcare and social services to a richly diverse patient population.

Compensation and Benefits:

Hourly wage ranges from $20 to $24.

Key Responsibilities:
Administrative Functions:

- Warmly greet all patients and visitors, utilizing exceptional customer service in every interaction.

- Oversee patient reception and intake processes, including registration, check-in, and scheduling future appointments.

- Conduct data entry, document scanning, and validation tasks.

- Manage patient flow between front and back office areas.

- Answer clinic phone calls and direct inquiries appropriately; conduct follow-up calls as necessary.

- Receive and distribute incoming correspondence, including mail, faxes, and packages.

- Maintain the appearance of waiting areas and reception desk.

- Monitor inventory of front desk supplies and forms.

- Generate correspondence as needed.

Clinic Attendant Functions:

- Greet all patients and visitors in a friendly manner, ensuring a positive atmosphere.

- Maintain a calm and inviting environment in the waiting area.

- Provide patient de-escalation support as required and coordinate with the team during medical or mental health emergencies.

- Interface with law enforcement as necessary during escalation events involving patients.

- Ensure patient needs are addressed by team members, working to minimize wait times.

- Manage the patient shower schedule.

- Perform additional duties as assigned by the Center Director or Supervisor.

Qualifications:
- Strong organizational, administrative, and problem-solving skills, with the ability to adapt to changing circumstances.

- Excellent interpersonal, verbal, and written communication skills, with a capacity to work effectively with diverse populations.

- Ability to prioritize multiple tasks and demands from clients or staff.

- Capability to work effectively and calmly under pressure, maintaining a friendly demeanor.

- Experience in a team-oriented environment with professionals of varying work styles and support needs.

- Conduct oneself in a manner that positively reflects LifeLong Medical Care as a professional organization.

- Utilize knowledge and expertise of other staff effectively.

- Exhibit creativity and a proactive attitude, with a focus on identifying and implementing opportunities for improvement.

Job Requirements:

- High school diploma or GED.

- One year of experience in the healthcare field.

- Excellent customer service skills and the ability to maintain confidentiality.

- Proficiency in standard office software (Microsoft).

Preferred Qualifications:

- Bachelor's degree in health science or a related field.

- Proficiency in Electronic Health Records (EHR) and Electronic Practice Management Systems (EPM).

- Experience working in a community health center.
