We are looking for a dedicated Service Operations Coordinator to enhance our team at Aldinger Co. In this pivotal role, you will oversee the daily activities of our field repair specialists, ensuring a seamless workflow while prioritizing customer satisfaction.
As the Service Operations Coordinator, your responsibilities will include liaising with clients, organizing, and scheduling the daily tasks of our field technicians. You will also manage the accurate input of customer equipment data into our management system and assign tasks to technicians for timely completion.
Being the primary contact for both clients and technicians, you will play a vital role in resolving any issues that may arise, thereby fostering high levels of customer satisfaction and operational efficiency. Collaboration with the branch manager and lead technician will be essential to refine and implement effective service strategies.
Key Responsibilities:
- Manage the scheduling and workflow of all calibration and repair tasks.
- Engage with clients to arrange all service and calibration appointments.
- Work alongside the Service Manager to allocate and direct field technicians.
- Inspect and document customer items requiring calibration.
- Prepare quotes and estimates for calibration services.
- Handle purchase orders and secure payments for services provided.
- Keep clients informed regarding the status of their orders.
- Make necessary corrections or updates to service certificates for clients.
- Review and approve electronic service records and calibration certificates prior to dispatching receipts to clients.
- Follow up with clients regarding upcoming calibration needs.
- Verify incoming shipments for accuracy against purchase orders.
Qualifications:
Essential Skills:
- Capability to lift up to 50 pounds.
- Strong attention to detail with the ability to work autonomously.
- Experience in scheduling and logistics.
- Exceptional customer service abilities.
- Outstanding organizational, prioritization, and administrative skills.
- Excellent verbal and written communication skills.
- Adept at multitasking, problem-solving, and managing projects under pressure.
Preferred Experience:
- Background as a Coordinator or Scheduler.
- Prior experience as an Assistant Service Manager.
- Experience in logistics coordination.
- Background as an Executive Assistant.
