Rothman Orthopaedics is seeking a dedicated Physical Therapy Front Desk Associate to join our team.

Work Schedule: Mondays, Wednesdays, and Fridays from 8 AM to 4:30 PM; Tuesdays and Thursdays from 10:30 AM to 7 PM.

Position Overview: The Physical Therapy Front Desk Associate is responsible for welcoming, guiding, and scheduling patients and visitors. This role includes verifying insurance benefits for all PT/OT appointments and ensuring proper authorization for visits. The individual acts as a crucial link between patients and the PT/OT staff.

Key Responsibilities:

  • Warmly greets patients and visitors in a timely and courteous manner.
  • Manages patient check-ins, confirming and updating demographic and insurance details in the system.
  • Updates the patient management system with arrival and referral information.
  • Processes co-payments and records necessary notes for the Business Office.
  • Schedules follow-up appointments with Physical Therapy Providers.
  • Handles scheduling tasks for physical therapists, including managing incoming patient calls and optimizing clinic flow.
  • Verifies and documents benefits for physical therapy and/or DME/splint for new patients.
  • Ensures all necessary forms and clinical information are submitted to insurance providers for authorization.
  • Monitors authorized PT visits and informs therapists when additional visits need to be requested.
  • Prepares new patient packets containing benefit verification forms and questionnaires.
  • Utilizes the system to scan and store patient documents.
  • Collects payments as outlined in the fee schedules.
  • Answers phone calls, screens inquiries, and provides relevant information.
  • Assists patients with mobility challenges.
  • Manages visitor inquiries and provides routine information.
  • Maintains a clean and organized work area and lobby.
  • Restocks front desk supplies as needed.
  • Collects insurance co-payments and referrals.
  • Balances end-of-day payments and assists colleagues with challenging situations.
  • Prepares necessary documentation for the following business day.
  • Collaborates with the Patient Responsible team to address outstanding balances.
  • Participates in required meetings.
  • Performs related duties as assigned by management.

Minimum Qualifications:

  • High School diploma or GED is required.
  • At least one year of experience in a medical office setting.
  • Proficient in computer applications, including MS Office.
  • Familiarity with business office procedures and medical terminology is preferred.
