Overview

GENERAL SUMMARY OF POSITION:

Under the general supervision of the Department Chair or their designated representative, the Academic Administrator II is tasked with orchestrating and overseeing the administrative and operational functions of a department engaged in education, research, clinical practice, and community service.

Responsibilities

MAJOR RESPONSIBILITIES:

  • Collaborate with School representatives to establish and prioritize departmental strategies and objectives. Analyze trends, assess causes and effects, and identify opportunities for enhancing departmental performance.
  • Promote continuous improvements in operational efficiency and processes.
  • Lead analytical evaluations of current or proposed services and activities to provide a solid economic foundation for management decisions aimed at enhancing operational and financial performance, as well as achieving productivity gains.
  • Assist the Chair in assessing spatial requirements for faculty and revenue-generating operations within the Department.
  • Oversee the facility requirements for the department, including renovations and daily operations related to the research and educational missions.
  • Counsel the Chair on Human Resource matters, including the formulation and implementation of organizational and staffing plans for both faculty and non-faculty personnel.
  • Manage recruitment, compensation strategies, and performance evaluations for faculty members.
  • Provide guidance to the Chair, faculty, and departmental staff on employee relations matters.
  • Supervise all personnel actions related to hiring, terminations, salary increases, contracts, and funding.
  • Act as an advisor to faculty regarding pre and post-award activities related to grant management.
  • Assist in negotiating research and trust fund contracts with external organizations.
  • Develop and oversee the department's annual budget, reporting significant variances and trends, recommending corrective actions, and providing financial forecasts.
  • Evaluate departmental needs and recommend priorities based on available funding.
  • Formulate funding strategies that encompass multiple sources, both internal and external.
  • Manage all departmental funding sources by monitoring revenue and expenditure activities.
  • Ensure compliance with University, State, and funding agency regulations.
  • Oversee the division's indirect cost, time, and effort reporting.
  • Advise faculty responsible for revenue-generating research trust funds to ensure viable operations, billing, and adherence to University and Federal guidelines.
  • Represent the department in administrative meetings both within and outside the Medical School.
  • Participate in Institutional committees aimed at enhancing school operations and system implementations.
  • Perform additional duties as necessary.

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in Administration or a related field, or equivalent experience.
  • A minimum of 5 years of relevant experience.
  • Prior supervisory experience is required.

PREFERRED QUALIFICATIONS:

  • Proven success in an operational or administrative capacity within an academic healthcare environment.
