About the Role

We are seeking a highly skilled and detail-oriented individual to join our team as a Nursery Order Fulfillment Coordinator. In this role, you will be responsible for ensuring the smooth execution of plant shipment orders, from entering and processing orders through our systems to making transportation arrangements.

Key Responsibilities
  • Order Processing: Accurately enter transactional information into our systems of record, ensuring timely and accurate processing of orders.
  • Transportation Management: Assess and schedule transportation needs for shipments, utilizing multiple carriers to ensure efficient and cost-effective delivery.
  • Metrics and Reporting: Develop and maintain metrics reporting for Order Fulfillment performance, providing valuable insights for process improvement.
  • Standard Operating Procedures: Develop and maintain SOPs for facilitating shipments within the nursery, ensuring consistency and efficiency.
  • Load and Pack Requests: Submit load requests to DSA-operated and third-party storage facilities, as well as pack requests to DSA-operated and third-party propagation facilities.
  • Load Delivery Schedules: Develop and distribute load delivery schedules to DSA and contract facilities, ensuring timely and accurate delivery.
  • Invoice Verification: Verify the accuracy of invoices submitted by contractors, ensuring timely payment and resolving any discrepancies.
  • Communication: Clearly communicate shipping details to all parties involved, ensuring seamless coordination and execution.
  • Inventory Management: Document inventory supply utilization and movement in our system of record, ensuring accurate tracking and reporting.
  • International Shipments: Prepare all documentation required to execute international shipments, including phytosanitary certificates through the USDA's PCIT system.
  • Inventory Reconciliation: Assist with the inventory reconciliation process, ensuring accurate tracking and reporting of inventory levels.
  • Team Collaboration: Collaborate with the Order Fulfillment Team to accomplish planned growth, contributing to the success of our business unit.
Requirements
  • Deadline-Driven Environment: Experience working in a deadline-driven environment, with a strong focus on meeting deadlines and delivering results.
  • Communication and Teamwork: Strong written and oral communication skills, reliability, attention to detail, and proven teamwork skills.
  • Technical Skills: Strong proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.

  • Education: Four-year Business degree preferred, but an equivalent combination of education, experience, and training in a related field may be considered.

  • Extended Schedule: Ability to work an extended schedule to accommodate the needs of the business, with flexibility and adaptability.
  • Driver's License and Travel: California driver's license and ability to be covered under a company-sponsored vehicle insurance program, as well as a valid passport and ability to travel internationally without restrictions.
