Position Overview:

As a vital member of the Human Capital team, the Onboarding Coordinator will facilitate the seamless integration of new employees into the organization. This role encompasses all facets of the onboarding journey, from the initial offer and pre-boarding documentation to the employee's first day. The Onboarding Coordinator is instrumental in the talent acquisition framework and is essential in delivering an exceptional candidate experience through professionalism, diligence, responsiveness, and proactivity.

Key Responsibilities:

• Oversee various administrative functions related to the onboarding of new hires, including the establishment of personnel files, collaboration with internal teams, and updates to internal resources and announcements regarding employee transitions.
• Assist in drafting offer letters for selected candidates, coordinating with stakeholders such as Legal and Compensation Compliance teams to ensure adherence to regulatory and state legislation regarding non-standard language and structures.
• Maintain ongoing communication regarding new-hire paperwork and provide continuous candidate support throughout the onboarding process until the employee's first day.
• Manage pre-boarding document requirements for candidates, ensuring compliance with federal and state regulations.
• Address inquiries from incoming hires and various internal stakeholders concerning the onboarding process.
• Review and process background checks, resolving any issues that may arise during the verification process.
• Create and maintain employee records, ensuring all relevant information is accurately entered into the HRIS (Dynamics 365).
• Assist with the I-9 Employment Eligibility Verification and E-Verify processes.
• Foster relationships and collaborate with various departments, including Human Capital, Compliance, Technology, and Office Services, to ensure a streamlined onboarding experience for new employees.
• Work closely with the Onboarding team to identify and implement enhancements to the onboarding process.
• Assist in maintaining user guides, checklists, and other documentation related to new hires and hiring managers.
• Ensure accurate documentation is maintained in the applicant tracking system (ATS).
• Provide administrative support and project assistance to Talent Acquisition & Development and Human Capital as needed.

Qualifications:

• 0-3 years of experience in Human Capital, Talent Acquisition, HR Operations, or Onboarding.
• Bachelor’s Degree in Business, Human Resources, or a related discipline.
• Familiarity with Microsoft D365 and ICIMS is advantageous.

• Proficient in data entry, communication, client service, project management, problem-solving, and analytical skills.
• Capable of thriving in a fast-paced environment while taking ownership of processes and updating stakeholders appropriately.
• Strong attention to detail, prompt follow-up, and a collaborative team player.
• Ability to exercise discretion and manage confidential information.
• Detail-oriented self-starter with the ability to multitask and drive multiple processes to completion within specified timeframes.
• Maintain clear and accurate operational procedures and shared documentation.
• Familiarity with applicant tracking systems and/or HRIS systems is a plus (ICIMS/Dynamics 365 preferred).

Compensation Range:

The anticipated base salary range for this position is $60,000 to $70,000. The final base salary will be determined based on various factors, including the candidate's qualifications, skills, competencies, and experience. This role may also be eligible for a discretionary bonus.
