Job Overview

Superior Fence & Rail of Arkansas is seeking a detail-oriented and organized Inside Administration Specialist to join our team. This role plays a vital part in ensuring the smooth operation of our administrative processes, including managing invoices, data entry, scheduling, and maintaining communication with customers.

Key Responsibilities:

  • Invoicing & Payment Collection: Prepare and send invoices to customers, follow up on outstanding payments, and process payments promptly.
  • QuickBooks Data Entry: Accurately enter financial data into QuickBooks and maintain up-to-date records.
  • General Administrative Duties: Provide general office support, including filing, answering phones, and organizing documents.
  • Asset Management: Track and manage company assets to ensure proper allocation and usage.
  • F360 Adherence: Ensure 100% compliance with the company's F360 system for all operational processes.
  • Sales Order & Purchase Order Completion: Process and complete sales orders and purchase orders accurately and in a timely manner.
  • Pick Tickets/CFS Completion: Handle pick tickets and CFS (Customer Fulfillment System) documentation to ensure smooth project fulfillment.
  • Customer Communication & Scheduling: Answer customer calls, schedule appointments, update customer schedules, and ensure timely communication to maintain high levels of customer satisfaction.
  • Appointment Scheduling: Coordinate appointments and update schedules to keep field teams on track.

Qualifications:

  • Experience: Previous administrative or office experience preferred, particularly in a customer-facing role.
  • Tech Skills: Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook). Familiarity with F360 is a plus.
  • Detail-Oriented: Strong attention to detail with the ability to manage multiple tasks and deadlines simultaneously.
  • Communication Skills: Excellent verbal and written communication skills for customer interaction and internal coordination.
  • Organizational Skills: Strong organizational skills to ensure accuracy and efficiency in all administrative tasks.
