Associate Director, Global Events and CVENT Management
Job Summary:The University of Pennsylvania seeks a highly skilled and experienced Associate Director to lead the planning and execution of global events that enhance the fundraising and engagement goals of the External Affairs office at the Wharton School.
Key Responsibilities:- Plan, manage, and execute high-visibility events that showcase the School's student, alumni, and donor communities.
- Collaborate with alumni relations and development staff to ensure the quality of events and manage expectations around event strategy.
- Oversight of CVENT, an event registration platform, and recommendation of best practices and processes for online and onsite alumni registration experiences.
- Manage event logistics, including venue selection, contract negotiations, floor plans, timelines, and budget management.
- Collaborate with stakeholders and internal partners on guest lists, communication timelines, and strategy.
- Set best practices and processes for the build of all registration sites and support the best user experience for alumni.
- Train staff on registration processes for flagship events and support other departments as needed.
- Bachelor's degree or equivalent combination of education and years of experience preferred.
- 3-5 years of experience in event planning, management, and execution.
- Proven ability to organize and complete multiple, simultaneous tasks with close attention to detail and prioritization to meet deadlines.
- Strong management, organizational, and planning skills with exceptional attention to detail.
- Ability to identify and implement innovative solutions to department event processes.
- Ability to anticipate and troubleshoot unexpected challenges as they arise.
- Able to work independently as well as collaboratively.
- Background or knowledge in CVENT a plus.
- Ability to travel and valid passport required.
- Weekend and evening work sometimes required.
