Role Summary:

The Payroll and Accounting Specialist plays a crucial role in managing payroll processing across multiple states, handling expense reimbursements, and supporting accounts payable functions.

Key Responsibilities:

  • Multi-state Payroll Management: You will oversee the semi-monthly payroll for various states using ADP, ensuring accuracy and compliance with all relevant regulations. This includes:
  1. Maintaining precise payroll records and deductions for both salaried and hourly employees.
  2. Adhering to federal and state regulations regarding timekeeping, tax payments, and any garnishments.
  3. Reconciling payroll reports with source documents and addressing discrepancies promptly.
  4. Reviewing payroll tax submissions and managing any related notices efficiently.
  5. Providing assistance to employees regarding payroll inquiries and modifications.
  6. Engaging in regular communication with employees, HR personnel, and management.
Expense Reimbursement Oversight: You will review and process employee expense reimbursements through Concur/Appzen, ensuring compliance with company policies and timely submission.Accounts Receivable Duties: You will manage client payments, assist with weekly deposits, and communicate deposit totals effectively.Accounts Payable Management: You will monitor accounts payable communications and process invoices related to payroll, including urgent payments.Financial Record Maintenance: You will balance and record journal entries for payroll in our general ledger software and assist with month-end closing tasks.

This job description outlines the primary responsibilities and expectations for the Payroll and Accounting Specialist role. Responsibilities may evolve as needed to meet business demands.

Qualifications:

  • At least 3 years of experience in multi-state payroll processing, with a preference for ADP experience.
  • A minimum of 1 year of accounts payable experience, ideally with Sage Intacct.
  • Proficiency in Microsoft Office, particularly advanced Excel skills.
  • Familiarity with Concur expense reporting software is advantageous.
  • Strong verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Exceptional attention to detail and organizational capabilities.
  • Strong analytical and problem-solving skills.
  • Knowledge of payroll laws and regulations at the federal, state, and local levels.
  • Capacity to manage multiple tasks in a fast-paced environment.
