LanceSoft is seeking a highly skilled Meeting Management Associate Director to provide meeting planning support to the Meeting Management group. The ideal candidate will have a strong background in project management, event coordination, and budgeting.
Key Responsibilities- Provide meeting planning support to the Meeting Management group, including budgeting, planning, and execution.
- Reconcile expenses for meetings and events, with a focus on congresses and advisory boards.
- Ensure compliance with corporate and departmental financial policies.
- Develop and manage complex budgets for meetings and events.
- Act as a supporting role or full-service planner, using third-party vendors to meet business needs.
- Source hotels and venues, negotiate contracts, and manage logistics.
- Manage speaker contracts, food and beverage, technology tools, audio visual, and on-site execution.
- Support the creation of standard operating procedures (SOPs) and financial processes.
- Collaborate with the Meeting Management team, Commercial, and Medical groups to deliver high-quality meeting planning services.
- 3+ years of project management experience.
- 3+ years of experience coordinating events, meetings, and conferences in a corporate setting.
- Cvent experience required.
- Pharma experience strongly preferred.
- Knowledge and experience working with healthcare professionals.
- Microsoft Office proficiency.
- Excellent communication and interpersonal skills.
- Ability to work with little supervision and prioritize tasks effectively.
- Highly organized, detail-oriented, and flexible.
- Ability to thrive in a fast-paced environment and handle multiple projects with tight deadlines.
- Travel required 10-15%.
