The Facilities Engineering Reporting and Operations Coordinator is a critical role within the Health & Hospital Corporation of Marion County, responsible for managing the day-to-day operations of facilities engineering work orders, compliance, and infrastructure. This position requires strong organizational skills, effective communication, and a deep understanding of computerized maintenance management systems.
Key Responsibilities- Manage all data, programs, and documentation related to facilities engineering work orders, compliance, and infrastructure.
- Provide exceptional customer service, answering and dispatching urgent phone requests and associated follow-ups.
- Update daily boards with high-priority equipment issues and route urgent needs to technicians, supervisors, and managers for timely resolution.
- Review work order dashboards daily to ensure assignment, progress, and completion.
- Assess monthly work order PMs to ensure compliance and follow up with responsible supervisors.
- Facilitate and complete department administrative tasks, including spreadsheet creation, PowerPoint presentations, staff reports, meeting facilitation, and SharePoint site content management.
- Provide support during Joint Commission, State Board, and Fire Marshall audits and present compliance documentation as needed.
- Maintain detailed inventories of equipment and spare parts, input new assets/sites as necessary, and create and maintain digital and physical compliance documentation.
- Collaborate with facility management to develop and maintain schedules and resource leveling using the work order program.
- Design, print, and maintain asset barcode labels for use with barcode scanning software.
- Report on key performance indicators monthly to the management team to identify potential failures, risk mitigation efforts, and increase efficiency throughout the environment.
- Administer the work order program, temperature monitoring system, and TMS Side Kick mobile work order system.
- Associate degree from an accredited engineering or business college or university with 2 years of progressive business environment work experience within an engineering, utility, construction, consulting, or operations-related discipline.
- 7 years directly applicable equivalent experience will be considered in lieu of Associate's degree requirement.
- Valid Indiana Driver's License.
- Effective written and verbal communication.
- Knowledge of Joint Commission, State Board of Health, and N.F.P.A. regulations.
- Organizational abilities.
- Advanced understanding of computerized maintenance management systems such as TMS.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Bartender Designer, Adobe Acrobat, TMS Sidekick, and Microsoft SharePoint.
- Ability to read architectural and engineering construction documents.
- Data analysis and reporting skills.
- Ability to adapt to new technology and set up maintenance staff communication devices for use in completing work orders.
- Ability to teach staff on related systems and tasks.
