Job Summary

The Part-time Office Assistant-Disability Resources will provide administrative support to the Disability Resources department at Black Hawk College. This role will serve as the first point of contact for visitors, staff, faculty, and callers, providing accurate and friendly customer service. The successful candidate will schedule and maintain appointments, provide general clerical support, and maintain confidential student records and departmental files.

Key Responsibilities

  • Acts as a receptionist for the department, serving as the first point of contact for visitors, staff, faculty, and callers.
  • Provides accurate and friendly customer service.
  • Schedules and maintains appointments for the department and for the Manager of Disability Resources & Access.
  • Provides general clerical support, including compiling data, preparing basic reports, and performing data entry into a database.
  • Maintains confidential student records and general departmental files.
  • Schedules and coordinates tests being taken in Disability Resources & Access, ensuring that students receive appropriate accommodations for testing.
  • Prepares exam notification forms for faculty, ensures tests are received for students.
  • Proctors tests taken in Disability Resources & Access, ensuring academic integrity, and delivers completed tests to the appropriate person or department in a timely manner.
  • Ensures compliance with all testing procedures, practices, and policies, and documents any testing irregularities and reports accordingly.
  • Resolves problems or testing issues that may arise during testing sessions.
  • Produces Books on Audio or obtains eBooks for students.
  • Provides appropriate information about Disability Resources & Access to prospective students and/or makes necessary referrals to appropriate departments.
  • Works directly with the Teaching and Learning Department to coordinate and support web/Canvas accessibility for students.
  • Assists in overseeing and scheduling student scribes, lab assistants, and interpreters.
  • Responsible for assistive technology loans and equipment tracking.
  • Ensures that Disability Resources & Access information is distributed to all campus offices, prospective student folders are kept up-to-date, bulletin boards and banners are updated as needed.

Requirements

  • High school diploma or the recognized equivalent required.
  • Ability to work with a diverse public required.
  • Must be able to maintain confidentiality of records and information.
  • Working knowledge of Microsoft Office software (Excel, Word, and Outlook) required.
  • Previous office experience preferred.
  • Ability to give written and oral instructions, and to communicate well and professionally with a diverse student body, faculty, and staff.
