SUMMARY OF JOB PURPOSE AND FUNCTION

The Client Service Coordinator ("CSC") is essential in managing the flow of clients and their pets within the veterinary practice. This role enhances the productivity of the veterinary medical team by ensuring effective communication with both clients and associates, while coordinating care in a friendly, welcoming, and efficient manner, ultimately encouraging client loyalty and referrals.

ESSENTIAL RESPONSIBILITIES AND TASKS

• Uphold and embody the core values of Mars, Inc. in all interactions.

• Proactively attract new clients by showcasing the services offered by the hospital and managing the client and pet flow to ensure exceptional care and optimal team productivity.

• Increase the number of pets attended to by the hospital team through efficient operations that support the needs of wellness plan clients.

• Deliver professional, efficient, and outstanding service consistently. This includes promoting hospital visits, warmly welcoming clients and their pets, ensuring their comfort, and providing education on pet health.

• Inform clients about Optimum Wellness Plans, preventive care, pet health requirements, and available hospital services.

• Assist incoming clients by completing necessary documentation, entering pet information and history into the system, utilizing appropriate identification methods, and ensuring prompt service.

• Support outgoing clients by providing all essential instructions, information, and invoices, dispensing prescribed items as directed by the veterinarian, selling retail products, and scheduling future appointments.

• Oversee financial transactions by maintaining accurate records and following proper opening and closing procedures.

• Perform administrative tasks as required.

• Undertake additional responsibilities as assigned.

CAPABILITIES AND EXPERIENCE (CAN DO)

• Multi-tasking ability: Effectively manages several tasks simultaneously, shifting focus among them quickly and accurately, even in distracting environments.

• Communication skills: Proficient in reading, writing, and speaking fluent English, demonstrating strong grammar, style, and vocabulary. Exhibits exceptional written and verbal communication skills.

• Organizational skills: Adopts a systematic approach to assignments, maintaining order and clarity in chaotic situations.

• Problem-solving skills: Capable of identifying, analyzing, and resolving issues, transforming challenges into practical solutions.

• Client service skills: Ensures the team consistently provides attentive, courteous, and informative service, deriving personal satisfaction from delivering excellent service.

• Intellectual ability: Accurately follows oral, written, or diagrammatic instructions and can provide clear directions.
