Job Summary

We are seeking a highly organized and detail-oriented Project Administrator to join our Infrastructure Management team at Ferrovial. The successful candidate will provide administrative support to our project teams, ensuring the smooth operation of our infrastructure projects.

Key Responsibilities
  • Provide administrative, financial, and procurement support to project teams, including processing invoices, managing expenses, and coordinating travel arrangements.
  • Process employee actions, including transfers, vacations, promotions, merit, bonus, pay adjustments, and terminations, ensuring all necessary documents are received and approved.
  • Coordinate and conduct new employee orientation, ensuring all necessary new hire paperwork is accurate and completed.
  • Prepare monthly reports, including client required reports, overtime, payroll, and SAP reports, in a timely and accurate manner.
  • Key payroll hours and work activities for project employees, ensuring timely and accurate activity reports.
  • Maintain confidential employee files and other project filing, including training and license records, and vendor insurance certifications.
  • Administer the project's accounts payable and receivable, including reconciliation, verification, and distribution.
  • Assist in the administration of the fleet management system, including data entry and invoice review.
Requirements
  • High school diploma or equivalent required; minimum 3-5 years' experience in office administration/customer relations.
  • Excellent knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Driver's license with a good driving record required.
  • Great communication and interpersonal skills.
  • Ability to identify inefficient practices and develop best practice solutions.
  • SAP experience strongly preferred.
Work Environment

The successful candidate will work in a fast-paced office environment, with occasional time in the field in varying temperatures. Travel may be required on occasion.

The physical demands of this role include sitting for extended periods, minimal bending, squatting, and stretching, and the ability to lift up to 20 pounds.
