KEY RESPONSIBILITIES
- Welcomes visitors in a courteous, friendly, and professional manner; addresses routine inquiries, general informational requests, and complaints from the public, regulated community, and partner agencies, or directs them to the appropriate personnel as needed.
- Oversees the phone system and manages incoming call traffic for staff, while maintaining general voicemail messages.
- Handles all incoming mail for the department and distributes it to the relevant parties in accordance with organizational policies.
- Assists with the preliminary completeness review of applications received; assesses the acceptance of applications for processing and review.
- Collects and processes fees related to program activities.
- Establishes and maintains filing systems, including databases, paper files, and logs for all applications received.
- Maintains records and processes administrative functions such as staff time and attendance, equipment and supply inventory, event registrations, and vehicle mileage and fuel records.
- Organizes credit card receipts from staff and compiles data into monthly financial reports; duplicates all receipts for managerial review.
- Supports management and technical staff with correspondence needs, including retrieving requested items from files, copying, and organizing materials.
- Acts as the Secretary to the Board of Directors; prepares Board documents, attends all scheduled Board meetings, and creates meeting minutes.
EDUCATION & EXPERIENCE REQUIREMENTS
- High School Diploma or GED.
- 1 year of college or a certificate from an office administration program; OR 1-2 years of general office experience.
SKILLS AND QUALIFICATIONS
- Proficient in QuickBooks, MS Office, and Excel.
- Ability to prepare and analyze comprehensive reports, execute assignments, and manage existing and proposed programs.
- Capable of reading, writing, speaking, understanding, or communicating in English sufficiently to perform the duties of this position.
- American Sign Language may also be considered as acceptable forms of communication.
